Job Description
We are seeking an exceptionally capable Executive/Personal Assistant to support a CEO leading a biotech company and family office. This is a high-trust, high-autonomy position requiring impeccable judgment, discretion, and the ability to execute flawlessly with minimal oversight. The ideal candidate thrives working independently, anticipates needs before they arise, and delivers polished, executive-level results on the first attempt. You will manage complex logistics, coordinate across time zones, and represent the Executive in interactions requiring sophistication and precision. This is a hands‑on role—you roll up your sleeves and get things done. Key Responsibilities
Executive & Personal Support
Manage an intricate, fast-moving calendar across business, travel, family, and social commitments. Coordinate domestic and international travel arrangements, including private aviation, visas, and detailed itineraries. Serve as gatekeeper and liaison for communications with executives, government officials, investors, and personal contacts. Handle confidential matters with absolute discretion. Household & Family Coordination
Manage household operations in coordination with household staff, vendors, and service providers. Oversee scheduling and logistics for three young children, including school, activities, medical appointments, and childcare. Manage personal appointments, reservations, and events befitting the Executive's profile. Project Execution
Take ownership of special projects from concept to completion with minimal direction. Research, plan, and execute events, gifts, travel experiences, and personal initiatives to an exceptional standard. Prepare briefing materials, talking points, and background documents as needed. Image & Presentation
Ensure all deliverables, communications, and arrangements reflect the Executive's standards and reputation. Maintain awareness of social, political, and professional contexts relevant to the Executive's network. Requirements
Non-Negotiables
Based in Dallas, TX. 5+ years supporting a C‑suite or high-net-worth executive with complex demands. Demonstrated ability to work autonomously with minimal supervision. Zero tolerance for errors on critical details—you check, double-check, and deliver correctly. Availability for travel (20–40%) and flexible hours, including evenings and weekends as needed. Valid passport; ability to obtain travel visas without restriction. Hands‑on approach—willing to do whatever it takes to get the job done. Essential Skills & Attributes
Anticipatory execution: ability to proactively identify needs, risks, and opportunities several steps ahead. Extreme attention to detail while operating in fast-paced, high-pressure environments. Executive-level judgment and discretion; strong boundary and priority management. Emotional intelligence, resilience, and composure under demanding conditions. Absolute confidentiality with sensitive business, financial, medical, and family matters. Advanced calendar and priority orchestration across business and personal domains. Sophisticated written and verbal communication with senior leaders and external stakeholders. High autonomy paired with full accountability and ownership of outcomes. Operational grit and willingness to handle tasks at all levels without hesitation. Strong technology fluency, including productivity platforms and AI-enabled tools. Preferred
Background supporting families and managing household staff. Familiarity with protocol for high-profile or politically connected individuals. What Success Looks Like
You will know you're succeeding when the Executive can focus entirely on running her company and caring for her family—because everything else is handled, anticipated, and executed to a standard that exceeds expectations. You operate invisibly when things go right and step up decisively when challenges arise. Compensation & Benefits
Competitive salary commensurate with experience, plus: Performance-based bonus. Health and dental coverage. Travel perks and expense coverage. This role requires exceptional standards, speed, and judgment. Candidates who prefer clearly defined tasks, frequent direction, or fixed hours may not find this role fulfilling. This position requires a background check and references. Confidentiality agreement required upon hire.
