Retail Sales Administrative Assistant (Bilingual
Spanish Required / Highly Preferred)
Grand Appliance & TV is seeking a detail-oriented, administrative-focused Sales Administrative Assistant to support our Waukegan showroom. This role plays a critical behind-the-scenes role in ensuring orders, deliveries, installations, and service requests are processed accurately and efficiently. Spanish-speaking (English/Spanish) candidates are strongly encouraged to apply. Daily communication with Spanish-speaking customers is a key component of this position. Position Overview
The Sales Administrative Assistant provides administrative and coordination support to the sales and operations teams. This role is ideal for someone who is highly organized, process-driven, and enjoys working in a structured environment while supporting both customers and internal teams. Accuracy, follow-through, and clear communication are essential. Primary Responsibilities
Coordinate and schedule installations with internal teams and third-party installers Schedule and confirm customer deliveries, including address verification Transfer and allocate inventory for upcoming deliveries and installations Update invoices with installation details, installer assignments, and scheduling notes Identify and document special delivery or installation instructions Communicate delivery or service issues to appropriate sales and operations staff Collect and process COD payments accurately Set up service calls with authorized service providers Monitor service calls to ensure timely completion and follow-up Partner with customer service on escalated or complex issues Process quotes and orders, ensuring correct product selection and pricing Prepare detailed specification packets clearly identifying installation responsibility per product Provide administrative support in the showroom as needed Complete additional administrative tasks and reporting as assigned Required Qualifications
Bilingual in Spanish and English (strongly preferred / highly encouraged) Strong administrative, organizational, and time-management skills High attention to detail with a focus on accuracy and process adherence Ability to multitask and prioritize in a fast-paced administrative environment Proficiency in Microsoft Excel and other office tools Ability to quickly locate and interpret information using internal systems and online resources Professional, customer-focused communication style Education
Associate Degree preferred Bachelor's Degree strongly preferred Compensation & Benefits
