$160,000 - $240,000 annually.
Location:
New York, NY (On-site 5 days a week + travel requirements). Responsibilities
Provide comprehensive administrative support to the Principal, managing a dynamic schedule, shifting priorities, and frequent time zone changes. Coordinate complex travel arrangements, including transportation, accommodations, and real time updates as plans evolve. Prepare briefs, summaries, and materials for meetings, calls, events, and travel. Serve as a primary point of contact for senior executives, advisors, board members, family office professionals, and other external partners. Handle sensitive personal and professional matters with strict confidentiality and sound judgment. Monitor active projects, deadlines, and follow ups, ensuring nothing is overlooked. Maintain streamlined systems that support organization, communication flow, and efficient use of the Principal’s time. Provide daily onsite support from the Principal’s home office, ensuring a smooth and organized environment. Manage physical files, records, binders, mail, deliveries, package coordination, and household related paperwork. Run local errands between the residence and nearby locations as needed. Support organization projects throughout the residence and help maintain household inventories (supplies, food items, personal items). Coordinate with household staff, building management, and outside vendors regarding property needs, services, and scheduled work. Track property maintenance tasks, upcoming needs, and pre arrival/post departure checklists. Ensure the Principal’s devices and technology tools are functioning properly, providing basic troubleshooting and partnering with IT when needed. Qualifications
8-10+ years supporting senior leaders, high-profile individuals, or executives in demanding, high-responsibility roles. Experience from sectors such as finance, consulting, law, government, tech, or family office environments. Strong technical skills (Microsoft 365, Google Suite, iCloud, Zoom, etc.). Comfortable collaborating with household teams, administrative staff, and IT professionals. Demonstrated ability to manage confidential information with the utmost discretion. Exceptional written communication skills; able to simplify complex information. Highly organized, with the ability to bring structure to dynamic scenarios. Polished, discreet, and professional in all interactions. Trustworthy, values-driven, and committed to long-term partnership.
