We're seeking a Sales Business Process Automation Engineer to streamline our charter sales operations, optimize our CRM infrastructure (HubSpot), and build scalable automation workflows. This is a consultant or contract engagement (6 months initially, with potential to extend) focused on delivering measurable improvements to our sales efficiency and customer response times. HubSpot Optimization & Administration Audit current HubSpot setup across sales, operations, and customer service Standardize pipelines, deal stages, properties, and data fields Build custom workflows for quote processing, follow-ups, and lead routing Implement reporting dashboards for sales metrics, fleet utilization, and conversion tracking Train internal team on HubSpot best practices and daily usage Sales Process Automation Automate inbound quote processing and routing to appropriate sales reps Build email sequences and nurture campaigns for prospect follow-up Create automated lead scoring based on charter history, inquiry type, and urgency Develop workflows that connect quote requests → availability checks → pricing → follow-up Eliminate manual data entry between systems (email, booking, CRM) System Integration Map existing tools and identify integration opportunities (scheduling software, maintenance tracking, billing) Implement API connections or middleware (Zapier, Make) to connect disparate systems Ensure data flows smoothly between HubSpot, flight operations, and back-office systems Document all integrations and create runbooks for internal team Light AI/ML Applications

(where data supports it) Implement predictive lead scoring models Deploy email optimization tools (send time, subject line testing) Explore pricing optimization for empty legs and positioning flights Identify opportunities for chatbots or automated initial inquiry responses (with human oversight) Knowledge Transfer & Documentation Document all processes, workflows, and system configurations Train internal systems manager (Austin) to maintain and expand automation Provide recommendations for next-phase improvements Create SOPs for ongoing CRM management Key Responsibilities

What Success Looks Like 30 Days: Complete HubSpot audit with prioritized improvement roadmap Standardized data fields and pipeline stages deployed Quick-win automation workflows live (lead routing, basic follow-ups) 60 Days: Major automation workflows operational (quote processing, email sequences, reporting) Integration plan finalized and first integrations deployed Internal team trained and adopting new processes 90 Days: Measurable improvements in quote response time and sales activity tracking Clean, reliable data feeding reports and dashboards Systems manager (Austin) able to maintain and iterate on workflows Recommendations for advanced automation/AI roadmap Skills, Knowledge and Expertise

What We're Looking For Required: 3+ years in sales operations, marketing ops, or business process automation Expert-level HubSpot experience (workflows, custom properties, reporting, integrations) Hands-on experience with automation tools (Zapier, Make/Integromat, API integrations) Strong understanding of B2B sales processes, lead management, and pipeline optimization Ability to translate business requirements into technical workflows SQL or database query experience for reporting and data analysis Excellent communication skills - able to train non-technical sales teams Preferred: Experience in aviation, travel, luxury services, or high-touch B2B sales Background in CRM migrations or implementations Basic Python/JavaScript for custom integrations or data manipulation Experience with AI tools (ChatGPT, Claude, predictive analytics platforms) HubSpot certifications or similar CRM certifications Nice to Have: Understanding of charter operations, aircraft scheduling, or aviation sales cycles Change management experience (driving adoption of new tools) Experience building internal documentation and training materials Join Us
