Excelsia Injury Care provides management services to a network of healthcare companies, supporting them in delivering comprehensive rehabilitation, diagnostic, surgical, and pain management services for individuals affected by post-traumatic neuro-musculoskeletal injuries. Job Duties / Responsibilities
Provide administrative support to departmental physicians, supervisors, managers, and administrators, including receiving and disseminating telephone and fax messages in a timely and appropriate manner using clinic and patient identifiers. Provide consistent support/coverage as needed per departmental policy. Direct patients, families, and visitors to appropriate medical treatment areas in a sensitive and caring manner. Assist with distributing reports, records, and messages while maintaining patient and clinic confidentiality. Assist with maintaining internal/external supply inventory. Maintain on-site presence during business hours. Comply with departmental billing functions and post patient charges and payments. Assist Manager by coordinating, reviewing, and preparing clinic charts for patient appointments per departmental policy. Maintain the office in a neat and orderly fashion and assist in maintaining a safe environment. Assist Manager and District Manager in completing requests for medical records and related requests. Maintain charts in proper order, inserting forms and reports in the appropriate location, and ensure all forms and dictations are completed. Copy materials, pick up mail when requested, initiate, prepare, and update forms, reports, and records on a routine basis. Respond to corporate/physician/patient/family/attorney inquiries and ambiguous situations, both inter- and intra-departmentally. Utilize QIP principles/techniques for organizational change and systems modification. Operate and maintain pertinent office machines/equipment, including fax, computers, and copiers. Assist with the collection, sorting, and distribution of departmental mail, correspondence, faxes, and phone messages in a timely manner. Perform other duties and assignments as directed and/or necessary. Interview patients, collect information, and enter data into the computer. Ensure patients’ paperwork and system data match; verify insurance and documents in the computer using account notes. Explain Excelsia Injury Care paperwork to patients and ensure they understand; witness patient signatures. Scanning and uploading paperwork to the EHR, if applicable.
Minimum Requirements
High school diploma or GED equivalent. 6 months+ of medical experience in an administrative physician office setting. Previous computer skills to include data entry, Word, Outlook, etc.
Additional Skills / Competencies
Ability to handle multiple tasks and responsibilities. Basic telephone and computer skills. Tact and skill in patient management. Excellent communication and organizational skills. Basic understanding of medical office procedures. Ability to effectively interact with doctors, patients, and co-workers. Ability to triage patients and take basic vitals (blood pressure, pulse, respiration).
Physical / Mental Requirements
Sitting, standing, walking, reaching above shoulder length, bending at the waist, kneeling, climbing stairs, climbing ladders, arms extended at shoulder length, and lifting up to 20 lbs.
