Role Description This is a full-time, in-office role for an Administrative Assistant at Gill Group. This position supports the preparation of multifamily housing valuation reports by gathering, organizing, and formatting data used by appraisers and analysts. The role is heavily focused on report writing support, document management, and accuracy in a deadline-driven environment.

The ideal candidate is detail-oriented, organized, and comfortable working with written reports, financial and market data, and complex documentation related to multifamily properties.

Key Responsibilities Report Preparation & Data Organization

Gather, organize, and verify data required for multifamily housing valuation and appraisal reports

Assist with drafting, formatting, proofreading, and finalizing multifamily valuation reports

Organize rent rolls, operating statements, comparable sales data, market data, maps, photographs, and supporting documentation

Ensure all report components are complete, accurate, and consistent with company standards prior to delivery

Administrative & Operational Support

Provide administrative assistance to appraisers and senior staff

Maintain organized digital client and project files, ensuring documents are saved correctly on the company server

Create and manage reports, correspondence, and internal documentation

Communication

Respond to emails and phone calls with professionalism and attention to detail

Communicate internally regarding report status, missing information, and deadlines

Scheduling

Assist with scheduling meetings and calls, including in-person, video conference, and telephone meetings

Process Improvement

Support workflow efficiency by maintaining organized systems and meeting deadlines

Assist with implementing strategies to improve report accuracy, consistency, and turnaround times

Qualifications

Administrative assistance and clerical experience

Strong written communication skills with an emphasis on report writing and proofreading

High attention to detail and strong organizational skills

Ability to prioritize tasks and manage multiple deadlines

Proficiency in Microsoft Office (Word, Excel, Outlook)

Comfortable working in a fast-paced, deadline-driven environment

Previous experience in multifamily housing, real estate appraisal, or a related field is a plus

Associate’s degree preferred

Bachelor’s degree preferred
