Responsible for assisting Buying teams with administrative functions including data entry related to one or more merchandise departments. Duties and Responsibilities
Performs data entry functions including but not limited to new item setup, price changes, item maintenance, and returns to vendors (RTVs). Prepares and submits item induction templates, maintains UPC files and master stock assortments. Generates purchase orders, confirms and reviews order quantities on purchase orders. Tracks purchase orders, makes decisions on changing shipping windows and canceling back orders. Independently contacts accounting when shipping and billing discrepancies occur. Analyzes receiving reports and contacts vendors and/or store receiving departments when there are delays and errors in shipment or receiving goods. Negotiates pricing and/or supplier support such as cooperative advertising, freight concessions, minimum order size, displays, training in-store, vendor support to help demonstrations and other allowances as directed. Assists in the preparation and implementation of model stock plans and seasonal buying plans. Assists with preparing historical analysis of various aspects of the merchandise required in developing buying plans and making commitments. Checks basic stock assortment for additions and deletions, initiates inter-store transfers, returns merchandise to warehouse and overstocked merchandise to vendors. Assists with decisions on substitutions, over shipments, chargebacks, price discrepancies, etc. Negotiates with vendors for return authorizations on deleted and discontinued product. Responds to inquiries and works closely with vendors and exchanges to resolve problems and facilitate flow of information regarding changes to stock assortments, merchandise availability, sales events, substitutions, vendor support, etc. Ensures that Navy Exchanges are provided with complete merchandising information pertinent to assigned departments or merchandise classifications. Assists with preparation of master stock assortments, category reviews and plan-o-grams for assigned departments. Participates in vendor meetings and assists with assortment selection and plan-o-gram development. Assists in the preparation of advertising sheets, coop forms, worksheets, retail price changes, secures samples and performs other related duties as needed in conjunction with all corporate promotional events. Prepares system reports as needed for review and analysis. Participates in functional training courses for department(s) assigned as required. Maintains proficiency in use of internal computer systems. Keeps abreast of current industry market trends for assigned department(s). Works under the general supervision of a Buyer. Carries out responsibilities with a high degree of independence and exercises judgment and initiative in making decisions and commitments. Maintains frequent communication with other members of the buying and planning teams as well as with internal departments, vendors, distribution centers and stores. Performs other related duties as assigned. Qualifications and Experience
General Experience 2 years of experience which was gained in administrative, merchandising, technical or other responsible work which enabled the applicant to gain a general knowledge of merchandising and procurement practices, skill in dealing with others in person-to-person work relationships, and the ability to exercise mature judgement. Substitution of Education for Experience 1 year of education above the high school level may be substituted for 9 months of experience, up to a maximum of a 4 year bachelor’s degree for 3 years of general experience. Specialized Experience
1 year of experience which provided background in procurement practices, knowledge of preparing and implementing model stock plans and seasonal buying plays, advertising sheets, worksheets, etc., or similar work which demonstrated the knowledge and ability within the procurement/operational area.
