Responsibilities

All Purchase Orders must be reviewed and accounted for any damages and accuracy. Ensures that policies and procedures are being followed. Observes and ensures all safety procedures and rules are in compliance with governing authorities. Receives shipments, including supplies, material, furniture and equipment from carriers. Ensures that all shipments are accounted for. Accesses Purchase Orders and enters quantities received in Ellucian Banner 9 software, prints receiving reports, and forwards the information to the Accounting department. Prepares freight claims, damage reports and credit documents and submits them to the proper departments. Receives and distributes packages using utility vehicles. Deliver shipments to requesting departments (main and south campus) using college vehicles. Reviews receiving documents, bills of lading, receiving reports, freight bills, damage reports, freight claims and credit returns for completeness. Submits all pertinent documents to accounting for recording and processing. Coordinates the return of damaged and defective goods with Freight Company, supplier and college department. Coordinates the delivery of PO’s of new fixed assets to departments. Scan all packages and envelopes in Pitney Bowes system. Perform all necessary physical duties that the job may require and include the use of a forklift to move merchandise when delivered. Performs other duties as assigned by immediate supervisor. Required Documents and Qualifications

High School Diploma or equivalent Two (2) year experience in shipping and receiving environment Valid Texas Driver’s License; Forklift Certification Be skilled in the use of a personal computer with working knowledge of the computerized operating system (i.e., MS Windows, Excel, Word, Outlook, PowerPoint, and Banner) Maintain a positive attitude toward college departments, employees, and students Perform assignments with a high degree of accuracy and adhere to deadlines Excellent communication skills, written and verbal Ability to work with minimal supervision Must be able to follow department policies and procedures Preferred

Associate Degree in Applied Science with emphasis in computer operation, business, and/or accounting Experience and knowledge of shipping and receiving environment at a community college Introductory Review Period

All hires are subject to a 90 day introductory review period. Supervision

May supervise Work-Study students, ensures that work-study students follow College, City, State, and Federal requirements and standards as required. Supervision Received

The position reports directly to the Central Receiving Supervisor. Physical Requirements

While performing the duties of this job, the employee is regularly required to sit. The employee is occasionally required to stand, walk, stoop, kneel, or crouch. Work is performed in a standard office environment. Work inside a well-lighted and air-conditioned area most of the time. The noise level in the work environment is usually quiet to moderate. Safety
