Overview Kona Kai San Diego Resort is a boutique urban resort located on Shelter Island. With 170 guestrooms, Kona Kai Resort is home to Vessel Restaurant + Bar, SpaTerre, a marina and a private club, all located just minutes from downtown San Diego.

We are currently seeking a positive, hard-working, self-motivated individual to join our fantastic team as our

Sales & Catering Coordinator

at our island-inspired resort.

The Job This role will report to: Director of Sales & Marketing

As a

Sales & Catering Coordinator

you are mission control of the event department. You assist the Sales and Catering team with special event bookings, pre-event details, act as on-site contact, and handle post-event administrative tasks. Your support providing personalized service to ensure all guest interactions are handled professionally, accurately, and in a timely manner along with your detailed, organized, caring personality will make all the difference!

Primary Responsibilities & Functions

Provide comprehensive administrative support to the Sales & Catering team, serving as a key liaison between clients, the hotel, and the sales office to ensure operational standards are met.

Manage daily communications, including monitoring multiple email inboxes, voicemail, and incoming phone calls.

Attend daily operations/stand-up meetings, sales meetings, and committee meetings as required; document and distribute notes as needed.

Create, log, and track all sales leads; prepare, merge, distribute, and route contracts, addendums, and related documentation to appropriate departments.

Generate daily, weekly, and monthly reports as requested by Sales Managers or Directors.

Coordinate office operations, including ordering office supplies, processing expense reports for managers, and mailing collateral for trade shows.

Support site tours by coordinating logistics, preparing guest rooms, inspecting event spaces, and assisting Sales Managers with on-site needs.

Process and manage amenities request forms and related guest arrangements.

Maintain working knowledge of departmental policies, service standards, equipment usage, and safety procedures.

Deliver exceptional guest service by anticipating needs, responding promptly to inquiries, resolving complaints, and maintaining positive guest relations at all times.

Maintain familiarity with resort and Club services, amenities, and local attractions to accurately respond to guest inquiries.

Monitor and maintain cleanliness, organization, and sanitation of assigned work areas.

Qualifications

High School Diploma or equivalent

Experience in a previous hotel preferred

2-3 years experience at a boutique/upscale style hotel preferred

Excellent verbal and written communication skills

Time management skills to complete all work in allotted time

Ability to multi-task

Ability to meet deadlines

Excellent attention to detail to meet both internal and external client needs

Excellent problem resolution skills

Be an active team player, self-motivated and working with minimal supervision

Knowledge of Delphi preferred

Working knowledge of Infor preferred

Customer service experience preferred

Hotel guest billing experience preferred

Compensation & Benefits

Pay Rate of $25.00 per hour

Overtime rate of $37.50 per hour

Meal provided every shift — save an extra $10/day
