Key Responsibilities Order & Documentation Review
Review customer orders for accuracy and completeness
Verify pricing, fees, and product details according to company guidelines
Identify and correct order discrepancies before processing
Prepare daily reports for the sales team or leadership review
Financial & Payment Processing
Process customer payments and maintain accurate daily logs
Reconcile cash, check, and credit card transactions
Balance daily and weekly reports to ensure accuracy
Contact customers regarding outstanding balances when required
Delivery Ticket & Record Management
Review delivery or service documents and note any missing or incomplete records
Work with operations staff to resolve documentation issues
Organize, scan, and archive records in a timely, consistent manner
Inside Sales Support
Serve as a point of contact for customers seeking information and coordinate workflow assignments with the Sales Manager
Support the sales team with follow-up calls, customer updates, and opportunity tracking
Maintain customer account information and ensure data accuracy in internal systems
Assist with preparing proposals and sales materials
General Administrative Support
Maintain organized digital and physical filing systems
Assist with setting up new customer accounts or project files
Provide general support to the sales team on administrative tasks
Take on additional duties as assigned by the Sales Manager
Qualifications
Previous administrative or inside sales experience preferred
Strong attention to detail and ability to manage multiple deadlines
Excellent communication and customer service skills
Strong organizational and follow-through abilities
Comfortable working in a fast-paced office environment
Experience with business, CRM, or order-entry software is a plus
