Summary

Chamberlain Advisors is partnering with a national design-build organization to identify a highly organized, proactive Marketing & Events Coordinator. This role is a critical partner to both the Sales and Marketing teams, serving as the central point of coordination for tradeshow operations, sales enablement materials, executive support, and day-to-day marketing and office logistics.

This position is best suited for someone who thrives in a fast-paced, interruption-driven environment, can confidently support sales leadership while maintaining priorities, and enjoys balancing administrative execution with creative marketing support. Approximately 50% of the role is dedicated to tradeshow and event coordination, which is a key driver of new business for the organization.

Key Responsibilities

Tradeshow & Event Coordination (Primary Focus) — Own end-to-end coordination for state and national tradeshows and conventions, a top business priority for the organization.

Manage event calendars, checklists, deadlines, and communications to ensure flawless execution.

Register booths and sponsorships early to secure cost savings.

Coordinate attendee travel, lodging, and required authorization documentation.

Manage pre-show and on-site logistics including shipping, booth utilities, materials, signage, and raffle items.

Prepare detailed tradeshow overview packets and schedules for Sales leadership and attending team members.

Partner closely with Sales to support on-the-road event execution and follow-up.

Sales & Marketing Support

Support Sales leadership with PowerPoint presentations, including editing, formatting, enhancing visuals, and bringing existing content to life.

Learn and apply La Macchia Group’s brand, history, and messaging to sales enablement materials.

Assist with marketing and sales projects as priorities shift throughout the day.

Serve as a bridge between Sales and Marketing, balancing responsiveness with strong prioritization.

Executive, Travel & Administrative Support

Manage frequent and recurring travel bookings for Sales leadership and team members.

Prepare, submit, and track expense reports with a strong emphasis on accuracy and timeliness (Concur experience highly valued).

Manage calendars, scheduling, and meeting logistics for Sales and Marketing leadership.

Coordinate Client Selection Meetings, including room setup, materials, catering, and follow-up needs.

Track Client Satisfaction touch-base meetings and maintain associated spreadsheets and documentation.

Communicate professionally with clients, vendors, and internal stakeholders on behalf of leadership.

Office & Client Readiness

Serve as the primary administrative contact for the corporate office location.

Ensure conference rooms and meeting spaces are client-ready at all times.

Prepare for client and visitor meetings with signage, materials, and welcome items.

Manage office readiness tasks including coffee service, kitchen organization, and supply replenishment in partnership with the Office Assistant.

Support general office organization and day-to-day operational needs.

What Qualifications You Need

1–3 years of experience in marketing coordination, event coordination, sales support, or administrative support roles.

Strong organizational and time-management skills with the ability to juggle multiple priorities and frequent interruptions.

Confidence supporting Sales leaders and executives, including the ability to push back politely and manage expectations.

Proven experience coordinating logistics, travel, schedules, or events.

Strong written and verbal communication skills with a polished, professional presence.

High attention to detail and strong follow-through.

Comfort working in a collaborative, creative team environment while also supporting sales-driven urgency.

Proficiency in Microsoft Office, particularly PowerPoint (presentation editing and formatting) and Excel.

Preferred Qualifications

Bachelor’s degree preferred but not required.

Prior experience supporting tradeshows, conventions, or events.

Experience working closely with Sales teams.

Exposure to construction, design-build, or professional services environments.
