Position Summary:
We are seeking a strategic, detail-driven Sales Operations Administrator to enhance the effectiveness of our sales organization and strengthen the integrity of our quoting and order-management processes. This role plays a pivotal part in optimizing sales performance, elevating customer experience, and ensuring operational excellence across teams. As a central partner to Sales, Finance, Product, Logistics, Client Success and Customer Operations, this position oversees the full quoting lifecycle, supports data-driven decision-making, revenue assurance and ensures that internal stakeholders are equipped with accurate, timely, and actionable information. The ideal candidate combines strong analytical capabilities with exceptional communication skills and a proactive, solution-oriented mindset. Responsibilities
Provide operational oversight and administrative support to the sales organization, ensuring seamless execution of sales processes and data governance. Lead the end-to-end quoting workflow, from requirements gathering and pricing evaluation to the delivery of high-quality proposals that reflect accurate and competitive positioning. Partner cross-functionally with Sales, Finance, and Product teams to maintain alignment on pricing, product information, and deal structure. Support sales strategy execution, such as territory planning, forecasting, funnel management, and operational readiness across indirect and direct sales channels. Serve as a key escalation point between sales representatives and internal departments to resolve quoting or order-related challenges. Develop and distribute executive-level reports and dashboards that provide visibility into sales performance and pipeline activity. Maintain a working knowledge of CallTower’s products, services, and implementation standards to support effective customer engagement and solution recommendations. Utilize Salesforce and related tools to ensure data integrity, streamline quoting execution, and contribute enhancements to internal systems and workflows. Ensuring opportunity governance, including reviewing closed/won opportunities for accuracy, validating required documents, and coordinating finance reviews for deals exceeding defined revenue thresholds. Oversee routine data hygiene activities in Salesforce, including deduplication, field validation, and audit checks. Build and maintain standardized reporting templates for leadership, sales managers, and cross-functional partners. Track sales productivity metrics and proactively alert leadership to trends that require corrective action. Work with Product Management to GTM, and packaging details within CRM and quoting systems. Serve as a point of contact for day-to-day operational questions, providing guidance on quoting, territory rules, or workflow steps. Coordinate training programs that strengthen sales team capability, product knowledge, and operational accuracy. Engage with clients as needed to provide quotes, proposals, and support in advancing sales opportunities. Act as a subject-matter expert for Salesforce and related sales tools, supporting user questions and small-scale configuration updates. Identify system enhancement opportunities and gather requirements for process automation or tool improvements. Monitor opportunity compliance, ensuring data entry adheres to internal policies and required fields are completed at each stage. Ensure proper documentation storage for audits, revenue reviews, and compliance checks. Maintain internal SLAs for quoting, escalations, and approval routing. Monitor open quotes and proactively follow up with reps or customers to maintain pipeline momentum. Essential Skills / Qualifications
Bachelor’s degree in Business Administration, Finance, or related discipline. Proven experience in sales operations, quoting, or related administrative roles. Strong analytical skills with the ability to interpret sales data and provide actionable recommendations. Proficiency in CRM software (e.g., Salesforce) and Microsoft Office suite. High degree of self-motivation, organization, and ability to manage multiple priorities effectively in a dynamic environment. Minimum 3 years of related experience (preferably within the UCaaS industry). SalesForce experience preferred Knowledge of Microsoft Office products required Team player, works well with both internal and external customers Benefits
