ESSENTIAL JOB FUNCTIONS AND SPECIFIC RESPONSIBILITIES: Reporting Relationship:

Reports directly to the Vice President or Senior Property Manager

General Responsibilities:

Responsible for all management aspects of the assigned properties, including operations, financials, and tenant relations

Property Maintenance:

Conduct regular inspections to ensure high-quality appearance and recommend maintenance/upgrades

Collaborate with the Property Administrator to prepare, request, and maintain service contracts, purchase orders, and work orders

Pre-qualify contractors, prepare bid packages, review/award contracts, manage certificates and warranties, and oversee contracted work

Coordinate refurbishment of premises for leasing and maintain vacant spaces for marketing

Attend move-in meetings and present materials

Manage move-in and post-move-in processes to ensure tenant satisfaction

Coordinate Tenant Improvements when required

Serve as the primary tenant contact and maintain consistent communication

Visit tenants at least twice a year and ensure compliance with insurance and hazmat requirements

Review construction requests and notices of non-responsibility

Conduct tenant closure inspections and final accounting with Property Accountant

Ensure timely collection of rent and apply late fees as needed

Process three-day notices as necessary

Review and approve monthly rent rolls, rent-up, and tenant statements

Prepare annual budgets and reforecasts

Approve invoices up to the designated limit and monitor operating expenses against budget

Prepare monthly financial reporting and conduct CAM reconciliation analysis

Respond to ownership and asset manager inquiries as needed

General Duties:

Ensure accuracy of status reports

Participate in weekend on-call rotation

Understand all properties and emergency procedures

Respond to emergencies and perform admin tasks for VP as needed

Serve as backup for Assistant Property Manager and/or Property Administrator

Engage in departmental projects and support broader property management team

Scope of Responsibility and Authority:

The Property Manager supports day-to-day implementation of policies and programs that ensure well-managed, well-maintained buildings, with a focus on tenant satisfaction, safety, and alignment with ownership goals

REQUIREMENTS:

Full-time position

Minimum 4+ years of Commercial Real Estate Property Management experience

Proficiency in MS Word, Excel, Outlook, and PowerPoint

Familiarity with Kardin or similar budgeting software

Strong prioritization, multitasking, and communication skills

High confidentiality, initiative, and teamwork orientation

PHYSICAL REQUIREMENTS:

Lift and carry up to 25 pounds

Ability to stoop, bend, kneel, climb, and reach regularly

Ability to sit for extended periods and use standard office equipment

Adequate vision, hearing, and manual dexterity for communication and equipment operation
