
Real Estate Office Administrator

We are seeking a highly motivated and dynamic Administrative Assistant who is excited to grow within the real estate industry. This role offers hands-on exposure to the day-to-day operations of a real estate office and is designed as a strong foundation for someone interested in building a long-term career in real estate. As the first point of contact, you’ll play a key role in supporting agents, clients, and transactions while gaining valuable industry knowledge and experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES The ideal candidate will have the skills, judgment, and initiative to perform the following responsibilities, with or without reasonable accommodation:
Manage calendars and coordinate office and client events
Order, maintain, and stock office supplies
Assemble and prepare buyer presentations and marketing packets
Coordinate buyer and seller appointments and confirmations
Maintain and update CRM database
Compose client correspondence (holiday cards, anniversaries, birthdays)
Plan and execute monthly company events
Track closings, listings, and buyer activity
Handle deliveries and pickups as needed
Process incoming and outgoing mail
Assist with social media management and online presence
Serve as a go-to resource for daily office needs
Support special projects and team initiatives as assigned
Provide occasional after-hours or weekend support during critical business periods
ESSENTIAL JOB REQUIREMENTS
High school diploma or equivalent required
Prior experience in real estate or as an administrative/office assistant preferred
Strong commitment to customer service and client experience
Excellent interpersonal and communication skills
Strong multitasking and time-management abilities with attention to detail
Ability to work independently and collaboratively in a fast-paced environment
Dependable, adaptable, and responsive to changing business needs
