Position Overview
The Marketing Administrator/Coordinator plays a key role in supporting the daily operations of the marketing department. This position is responsible for managing invoices and expenses, coordinating marketing collateral orders for communities, trafficking media ads, and providing general marketing support across multiple projects. The ideal candidate is highly organized, detail-oriented, and comfortable thriving in a fast-paced, deadline-driven environment. Key Responsibilities
Marketing Operations & Administration
Manage and process all marketing invoices, expense reports, purchase orders, and budget tracking. Maintain accurate documentation and ensure timely submission of all financial and administrative materials. Collateral & Asset Management
Order, track, and distribute marketing collateral, branded materials, signage, and promotional items for communities. Organize and maintain digital and physical libraries of marketing assets. Media & Advertising Support
Assist with trafficking media ads across digital, print, outdoor, and social platforms. Coordinate deadlines, specs, and asset delivery with media partners and internal teams. General Marketing Support
Assist with project coordination, timelines, and status updates. Support content updates, basic design edits, or proofreading as needed. Help maintain marketing spreadsheets, reports, and dashboards. Collaborate with cross-functional teams to support events, campaigns, and community needs. Requirements
Candidate Qualifications
A high school diploma or equivalent. At least 1–3 years of experience in marketing coordination, administration, communications, or a related field. Strong knowledge of spreadsheets (Excel/Google Sheets) and basic marketing tools/systems. Exceptional organizational skills with the ability to manage multiple tasks and priorities. High attention to detail and accuracy in a fast-paced environment. Strong communication skills (written and verbal). Ability to work collaboratively and build relationships across teams and vendors. Comfortable learning new software and systems quickly. Preferred Qualifications
Basic design or layout knowledge (Canva, Adobe, or equivalent). Experience in trafficking media ads or coordinating vendor timelines. Familiarity with project management tools (e.g., Asana). Experience working in multi-location or community-based organizations. Data-driven decisions that support equity, transparency, and business growth. Personal Attributes
