We are launching a large-scale document digitization project involving thousands of Land & Right of Way (ROW) files. We are seeking an experienced Lead Document Specialist to support project staff, serve as the primary on-site resource, and collaborate closely with internal teams overseeing the project. This role is ideal for someone with experience in land, ROW, or legal contract documentation particularly those familiar with Document Specialist or Document Control work. Responsibilities
Lead a team of document processing specialists, serving as the main point of contact for questions and workflow direction. Oversee the preparation, scanning, categorization, and quality control of Land & ROW files. Ensure "smart scanning" accuracy, including correct document categorization and nomenclature. Use desktop scanners and occasionally large copiers for oversized documents. Verify all scanned images for completeness, legibility, and proper file naming. Coordinate the upload of digitized files to designated network locations (and potentially SharePoint). Assist with shifting and moving boxes of documents; ability to lift is required. Collaborate with internal employees who are supervising the project while balancing other duties. Maintain productivity tracking, daily progress logs, and workflow updates. Utilize Microsoft Office applications (Word, Excel, Outlook) proficiently. Qualifications
Experience in Land or Right of Way documentation strongly preferred. (Client will look at those with this experience first) Background in document control, document specialist roles, or legal contract documentation is a plus. Strong organizational and communication skills; ability to guide and support a team. High attention to detail and accuracy in document handling. Comfortable working in a project-based office environment.
