
The Sales Coordinator supports the sales organization by managing pricing, proposals, and project coordination activities that keep customer orders moving efficiently from quote to completion. This role works closely with sales, design, vendors, and internal operations teams to ensure accurate order execution and a consistently positive customer experience.
Key Responsibilities
Assist sales and design teams with product research, specifications, and technical order details.
Prepare customer proposals, quotes, and related documentation, including creation of project numbers and work orders.
Update and revise orders as needed throughout the budgeting and approval process.
Project & Order Coordination
Coordinate customer projects and service requests from order setup through completion.
Partner with internal teams—including design, project management, coordination staff, and installation crews—to ensure smooth project handoffs and timelines.
Provide customers with routine updates on project status, scheduling, and order progress.
Request pricing and negotiate discounts with vendor partners based on order scope and size.
Support preliminary budgeting and cost estimates for sales proposals.
Assist sales representatives in closing orders by confirming executed agreements, purchase orders, terms and conditions, and required deposits.
Stay involved throughout project execution to identify and resolve changes in scope, pricing, or deliverables.
Participate in project and account meetings as required.
Process, Accuracy & Customer Satisfaction
Help maintain consistent service and performance standards across all customer work activities.
Assist with establishing cost and sell pricing in accordance with contract terms, margin targets, and service pricing guidelines.
Ensure documentation standards and internal procedures are followed for all account and project activity.
Ongoing & Administrative Support
Complete bid packages, RFP responses, and related proposal documentation.
Assist with coordinating team assignments to balance workloads and meet deadlines.
Participate in scheduled team meetings and support continuous improvement efforts.
Perform other duties as assigned.
Qualifications & Skills Required
3–5 years of experience in a sales support, coordination, or customer service–focused role.
Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
Strong customer service and multitasking skills in a fast-paced environment.
High attention to detail with strong organizational and prioritization abilities.
Effective communication skills and the ability to collaborate across multiple departments.
Preferred
Moderate to advanced product knowledge in a project-based sales environment.
Experience with vendor pricing, discounting, and margin considerations.
Ability to work independently with minimal supervision.
Familiarity with Khameleon business systems.
Experience using Project Spec or similar product specification software.
