We are seeking a highly motivated and detail-oriented Events Coordinator to manage and execute a wide range of events for our market-leading, tech-enabled fund administration firm. This role requires a self-directed individual with 5+ years of events management experience who is confident in planning and managing sophisticated, content-driven events.
What you’ll be doing
Calendar Management:
Coordinate and maintain a comprehensive U.S. events calendar, ensuring all events are properly scheduled and resources are allocated effectively.
Event Management:
Develop and manage Gen II sponsored events, including planning, logistics, and execution from concept to completion.
Sponsorship Coordination:
Coordinate industry event sponsorships, managing deliverables and maximizing brand exposure.
Event Ticket Administration:
Manage the procurement, distribution, tracking and reporting of event tickets to clients and internal staff.
Internal Events:
Work with the HR team to support the development and execution of internal events, including team building and celebration events.
Stakeholder Relations:
Serve as a primary point of contact for event speakers and client attendees, working with internal and external senior executives.
Collaboration:
Liaise with all Gen II departments, including Business Development, Client Service, Marketing, HR, and Administration, to align event objectives with company and departmental goals.
Budget Management:
Create and manage event budgets, track expenses, and ensure all costs are within allocated limits.
On-site Support:
Provide on-site coordination and support during events, including setup and teardown.
Additional tasks as assigned.
The ideal background for this role
Bachelor's degree in Business Administration, Marketing, or a related field.
5+ years of proven experience in event planning and management, preferably within the financial services or professional services industry.
Familiarity with the finance industry and private equity market is helpful but not required.
Proven ability to organize large scale events, 300+ attendees.
Self-directed and confident in managing multiple tasks and projects simultaneously.
Exceptional organizational skills and attention to detail.
Strong communication and interpersonal skills, with the ability to interact professionally with all levels of staff and external stakeholders.
Proficiency with event planning tools, CRM platforms, and Microsoft Office Suite.
Ability to work in a dynamic, high-growth environment and manage pressure effectively.
The salary range for this position is $110,000 - $143,000, in addition to a discretionary bonus and comprehensive benefits package. Please note that the actual salary offered within that range will depend on the candidate’s experience level.
