We are looking for a Sales Office Coordinator to join the team!

General Responsibilities

Coordinate the day-to-day operations of the office

Provide excellent high-quality customer service

Organize and maintain all office paperwork, files, and records

Check daily incoming emails and carry out clerical functions related to incoming emails

Answer phones, voice messages and distribute leads as needed

Welcome guests and clients by greeting them, in person or on telephone: answering or directing inquiries

Register all new clients in CRM system / Spark

Generate daily traffic reports and other reports when needed

Coordinate food and beverage order for daily office use, special events and private lunches

Work closely with marketing, maintain all marketing materials stocked, including making copies of floor plans for associates

Coordinate events via calendar and RSVPs, assist with broker lunches, and evening events when necessary

Maintain/manage all orders of office supplies, wine and champagne and keep inventory

Always maintain the sales gallery in order, manage the weekly flower delivery, monthly fumigation service, office scent service and report all issues that may need to be addressed that are related to the sales gallery experience

Work closely with project team to solve emergency problems such as plumbing issues, building leaks, gold cart issues and electrical issues

Handle copier issues, call for service and make sure all issues are resolved

Assist sales associates with miscellaneous clerical task and miscellaneous duties

Obtain estimates and approvals for office services

Lift/move light items from time to time

Close and open office daily

Qualifications

Bachelor’s degree preferred but not required

2+ years of Customer Service experience

2+ years of Sales experience preferred but not required

High attention to detail

Experience with Microsoft Office
