Department Overview The Office of Undergraduate Admissions handles 67,000+ applications and serves ~38,000 campus visitors annually. It includes 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation. The department is part of Enrollment Management within Undergraduate Education and collaborates with Academic Senate committees.
Job Summary Under the general supervision of the Assistant Director - First-Year Recruitment, the Regional Admissions Representative (RAR) conducts outreach and advising to prospective high school and transfer students. The RAR builds relationships to increase UCSC brand awareness and enrollment from targeted populations. The RAR provides information about UCSC and admissions requirements during school visits, appointments/workshops, and admitted student receptions. Focus areas are Southern California with broader outreach across the U.S. and international audiences.
Responsibilities
45% - Prospective Student Liaison and Outreach:
Plan visits, give presentations, and provide on-site advising; communicate admissions requirements, prerequisites, major courses, programs, curricula, and financial aid criteria in educational/community settings; plan and execute domestic (primary) and some international events as part of outreach and yield strategy; recommend improvements to existing programs.
35% - Evaluation of Applications and Other Materials:
Assess applicants’ records for initial admissions determination; evaluate foreign and domestic educational records; perform course-by-course transfer evaluations; participate in evaluation processes (application review, transcript clearing, coding/documentation, articulation).
10% - Data Entry and Processing:
Enter and analyze student data in the CRM and AIS/InfoView to assess outreach effectiveness.
5% - Supervision:
Participate in recruitment, hiring, training, and supervision of student staff.
5% - Travel Documentation:
Complete necessary paperwork for policies/procedures, including pre/post-travel planning and documentation.
Required Qualifications
Bachelor’s degree in a related area or equivalent experience/training.
Experience establishing and maintaining effective working relationships with internal and external partners.
Thorough knowledge and experience working with a diverse student population.
Proficiency with Microsoft Office, online databases, email, and web-based research tools.
Excellent verbal, interpersonal, and written communication skills; ability to convey complex information clearly to varied audiences.
Excellent organizational and time management skills; ability to multitask and work under interruptions.
Ability to plan, coordinate, and implement extensive domestic and international travel arrangements.
Ability to analyze data (including ROI) to evaluate outreach and recruitment programs; ability to manage projects and budgets; ability to exercise sound judgment with sensitive records.
Preferred Qualifications
Knowledge of tertiary-level foreign credentials, study abroad policies, and global educational systems.
Knowledge of UC A-G Course List and Assist.org; advice on course selection.
Experience with Oracle/PeopleSoft Campus Solutions, CRM systems, and higher education IT environments.
Knowledge of UC admissions practices, including evaluations and transfer credit policies.
Languages other than English; experience recruiting, hiring, training, and supervising student staff.
Special Conditions of Employment
Pre-employment criminal history background check; employment misconduct disclosure process; valid California driver’s license.
Hybrid work schedule; ability to work from home/remote office and comply with UCSC telecommuting agreement.
Variable schedule, including evenings and weekends; travel to multiple locations on/off campus; possible national travel; valid U.S. passport.
Completion of required training including UC compliance training; vaccination policy compliance per UC.
Miscellaneous / Compliance
Misconduct Disclosure Requirement:
Disclosure of any misconduct findings within the last seven years as a condition of employment.
