Job Description The Real Estate Services Specialist supports facility operations across multiple locations through routine site visits and lease administration. This role serves as a liaison between property occupants and internal departments to ensure timely resolution of facility-related issues. The specialist coordinates communication between Planning, Design & Construction, and Facilities Operations to ensure seamless execution of projects and repairs. Additionally, the role manages lease administration activities, including rent adjustments, invoice processing, and tracking critical lease dates.

Responsibilities

Coordinate with Plant Operations and PD&C on matters concerning off‑site property repairs. 15%

Provide support as needed to maintain budgets. 15%

Develop analytics to support Facilities and PD&C as it relates to real estate. 10%

Track contract approval process and inform teams when dates are extending. 5%

Routinely visit all sites at least twice a year to meet with key leadership, reviewing any issues or concerns with the property. 10%

Review all work orders for timely completion and communicate with each leader of the site. 5%

Maintain and abstract all current and new lease documentation for assigned properties, using spreadsheets or lease management software. 10%

Oversee accounts receivable associated with assigned properties. 5%

Manage rent increases including step and CPI increases. 5%

Monitor critical dates (renewal, rate increase dates, etc.). 5%

Use varying types of Lease Management Software to generate reforecasts and budgets. 5%

Compute CAM and real estate tax billings with advanced calculations to include gross ups and application of caps. 5%

Field occupant calls regarding questions on lease information and account history. 5%

Perform other job-related duties as assigned.

Qualifications Education and/or Experience Required

Education: High school diploma or equivalent.

Minimum of 4 years of experience in commercial lease administration and office/facility management.

Experience working on deadline-driven projects with critical completion dates.

Education and/or Experience Preferred

Education: Bachelor’s degree in business, real estate, facilities management, or related field.

Experience using real estate software platforms.

Familiarity with property or lease compliance standards.

License and/or Certification Preferred

Real Estate License

Knowledge, Skills and Abilities Knowledge:

Basic accounting principles; budgeting concepts and practices.

Construction processes.

Microsoft Office Suite, including Excel, Word, and Outlook.

Computer-based real estate tracking software such as MRI, Yardi, or AMT.

Lease administration systems and the ability to learn third-party lease management tools.

Skills:

Intermediate to advanced Excel skills, including creating spreadsheets for financial tracking and presentations.

Strong analytical and problem-solving skills.

Effective written and verbal communication.

Proficiency in lease management software (preferred).

Experience with AutoCAD, Bluebeam, or other drawing software (preferred).

Abilities:

Resolve complex problems independently.

Anticipate departmental needs and take proactive action.

Collaborate with internal teams and external partners.

Manage multiple priorities and meet strict deadlines.

Ensure compliance with lease terms and organizational standards.
