Executive Assistant to Managing Partner – Law Firm (San Francisco)

Monday–Friday, 8:30am–5:30pm
We’re partnering with a nationally recognized, purpose-driven plaintiffs’ law firm seeking an experienced
Executive Assistant
to support its Managing Partner. This is a senior, high-trust role in a fast-paced litigation environment — ideal for someone who thrives as a true gatekeeper and takes pride in keeping leadership operating at peak performance.
This role centers on execution, judgment, and reliability. You’ll manage the flow of your executive’s day, anticipate needs, and ensure priorities move forward without friction.
What You’ll Do Executive & Administrative Support
Own a complex and dynamic calendar — scheduling meetings, calls, depositions, and court hearings
Anticipate conflicts, manage last‑minute changes, and resolve issues before they escape
Prepare briefing materials, agendas, notes, and follow‑ups
Act as primary gatekeeper and point of contact for all inbound communications
Draft and edit professional correspondence and documents
Travel & Logistics
Coordinate domestic and international travel (flights, hotels, ground transportation, itineraries)
Manage expenses and reimbursements accurately and on time
Office & Operations
Maintain digital and physical filing systems
Handle mail and document production (scanning, filing, copying)
Provide word processing, spreadsheet updates, and presentation support
Support office operations and welcome visitors
Troubleshoot urgent issues as they arise
Additional Responsibilities
Partner with the estate manager on personal coordination
Organize internal events, leadership dinners, and firm gatherings
Support special projects as needed
About You
5+ years of Executive Assistant experience, ideally in a law firm or professional services environment
Confident, polished, and well‑spoken — comfortable representing senior leadership
Naturally proactive and anticipatory — you stay two steps ahead
Highly organized and detail‑driven, with excellent follow‑through
Calm under pressure and adaptable when priorities shift
Discreet and trustworthy with sensitive information
Strong writing and communication skills
Comfortable serving as a firm gatekeeper
Qualifications
Legal background strongly preferred
Typing speed of 75 WPM with high accuracy
Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
Excellent grammar, proofreading, and professional correspondence skills
