As the Director of First Impressions, you will serve as the face of the organization - providing a polished, warm, and professional welcome to all visitors and callers. Your attention to detail and excellent communication skills will ensure smooth front-office operations and a consistently high standard of hospitality for internal and external guests. You'll work closely with various departments and leadership, including supporting the executive assistant and contributing to special projects in areas such as marketing, preconstruction, and other business units as needed. Essential Duties and Responsibilities: Answers phone calls, greet visitors, maintains clean, presentable office environment for all visitors. Ensures front desk, mailroom, office supply room, Slainte and all conference rooms remain clear of clutter and fully stocked. Manages reception email inbox, calendar and My Fax. Assists with scheduling of office functional activities both internal and external. Assists with organizing food service for office meetings and company functions. Oversees coordination of conference rooms and Zoom rooms. Oversees coordination of vehicle check-out system and I-Pass. Coordinates Russell car maintenance and maintain mileage log with the CFO. Sorts, scans and distributes incoming/outgoing mail according to standard procedures. Receives, signs for, and distributes incoming parcels and assists others in preparing outgoing parcels. Notifies team members of receiving parcels and tracking timely pickup of all items. Delivers office team member mail to workstations. Manages team member mailboxes and shipping information to offsite employees. Creates monthly reports for postage/parcel shipments, updates postage meter and replenishes funds as required. Manages distribution of checks to be picked up and signed for. Composes and/or edits letters, memos, reports, procedures, etc. as required. Responsible for managing inventory of office and Slainte supplies including, but not limited to: general office supplies, letterhead, envelopes, paper products and facility breakroom goods. Manages receipts for expense reporting. Maintains stocked and serviceable office equipment. Coordinates services needed for all office equipment with IT Director. Acts as liaison for troubleshooting in coordination with phone systems, UPS, USPS, Pitney Bowes, office purchasing accounts. Updates and manages front desk manual and team member phone lists. Coordinates distribution of monthly birthday cards with CEO. Coordinates office functions and standards with Facilities Director. Performs additional administrative duties, as assigned. Requirements: Educational and experience requirements include: High school diploma or equivalent plus a minimum of 3-5 years of administrative experience. Experience in construction related field helpful. Requires working knowledge of general business and office equipment. Proficient in Microsoft Outlook, Word and Excel required. Excellent communication and interpersonal skills are essential. Ability to handle sensitive and confidential information / situations.
