Administrative Assistant (Digital Media Conversion)

George Consulting is seeking an Administrative Assistant (Digital Media Conversion) to support NIPO at the Washington Navy Yard.

Roles and Responsibilities:

  • Conversion of physical documentation into searchable digital files.
  • Organizing the digital file system for searchability, retrieval and archival of documents.
  • Assist with back-office tasks from government lead.
  • Communicate with government personnel about files being converted.

Secondary Job Duties (Only when needed for backup):

  • Receptionist shall answer telephones to relay incoming, outgoing, and intra-system calls and acts as a receptionist greeting visitors, determining nature of visits and directing visitors to appropriate persons.
  • Physical Security: Greet all visitors (Foreign Chief of Naval Operations (CNOs) and attaches, Corporate Executives, General and Flag Officers (FO/GO), etc.) and, as such, must be professional, dignified and proficient in dealings with senior officials; arrange VIP access into Navy IPO spaces, control access and badging, and maintain records of visiting dignitaries; track and record foreign visitors to Navy IPO via the Foreign Visitor System Confirmation Module (FVS-CM); process incoming visit requests; manage courier cards, visitors badges, property passes, etc. Arrange escorts for those personnel requiring such escort; ensure visitors comply with established security policy and procedures; ensure personal electronic devices (PEDS) of visiting personnel are properly safeguarded and returned to the owner upon completion of the visit; ensure proper security of the reception area during working hours, and proper lock-up at close of business.
  • Personnel Security: Maintain comprehensive personnel security data using MS Access. Prepare outgoing visit requests; use Defense Information System for Security (DISS) or its successor for clearance and visit request information; record security related training for all assigned personnel and support Contractors; receive, review and input security clearance data into the visitors database, ensuring that support Contractors visit request is up-to-date; file visit requests and maintain records; update security database and visitors database as needed.
  • Antiterrorism/Force Protection (AT/FP): Maintain current data reflecting AT/FP training for all members of the activity and support Contractors; prepare Individual Force Protection Plans (IFPPs) for travelers; consult current country terrorist threat list when preparing IFPPs.
  • Information Security: Receive deliveries to the command, ranging from classified deliveries to supply; ensure proper protection of all deliveries, recording of all incoming items, and movement of these items for dissemination.
  • Training: Maintain records of all security training for members of the command; initial orientation, annual refresher briefings, Cyber Awareness briefings, AT/FP, Personally Identifiable Information (PII) training, Counterintelligence, etc.

This position requires the ability to obtain an active Department of Defense Secret Security Clearance.

Required Skills & Experience:

  • High School Diploma or GED
  • Must be comfortable with communicating with people daily and in person.
  • Understand the importance of the security measures taken on-site and be able to enforce them properly with everyone entering the building.
  • Comfortable going on-site every day at the Washington Navy Yard.
  • Ability to communicate effectively with all directors on-site.
