Position Summary
Our client, a Japanese company is looking for an office manager who handles office operations management with inside sales and customer support for existing clients. Responsibilities include general office administration, shipment coordination, basic IT support, as well as order processing, quotation and invoice preparation, warranty and repair case management, inventory control, and translation of technical documents.
Key Responsibilities
Office Operations Manage daily office operations (supplies, facility coordination, document management, basic PC troubleshooting) Arrange shipments to Japan and overseas offices Support HR-related functions (timekeeping, benefits administration, onboarding assistance, training coordination, staff support) Assist with internal event preparation Inside Sales / Sales Support
Process orders and respond to inquiries from existing customers (phone/email) Prepare quotations and invoices Coordinate repair and return processes Manage warranty and repair case progress Arrange sample shipments and support factory-related documentation Translate technical documents (English ↔ Japanese) Manage inventory and ordering of parts Conduct product inspection, packing, and shipment as needed Reporting & HQ Communication
Submit regular reports to Japan headquarters and communicate in Japanese Qualifications
5+ years of experience in office management and/or inside sales Japanese language proficiency required Business-level English proficiency Basic accounting and invoicing knowledge MS Office (Excel, Word, Outlook) Experience using QuickBooks Valid U.S. work authorization
