Executive Assistant to Property Manager

Salary Range:

$55,000-$60,000

Position Overview

We are seeking a highly skilled and experienced Executive Assistant to serve as the right-hand to the General Manager. This is a pivotal administrative role that requires exceptional organizational skills, excellent communication abilities, and the professionalism to interact confidently with board members, residents, vendors, and internal stakeholders.

This is not an entry-level role. The ideal candidate has a proven background supporting senior leadership and thrives in a fast-paced, dynamic environment.

Key Responsibilities

Executive Support

Provide direct administrative support to the General Manager, including calendar management, meeting coordination, travel arrangements, and task prioritization.

Draft and prepare high-quality correspondence, reports, presentations, and meeting materials.

Manage incoming communications and act as a reliable liaison on behalf of the GM.

Communication & Relationship Management

Serve as a professional point of contact for board members, residents, vendors, and internal colleagues.

Handle inquiries, requests, and issues with tact, discretion, and sound judgment.

Support preparation and execution of board meetings, community meetings, and executive briefings.

Administrative Operations

Maintain organized filing systems (digital and physical).

Process documents, invoices, and reports with accuracy and timeliness.

Assist with project coordination, deadlines, and operational follow-through.

Track key action items and ensure the GM is prepared for upcoming commitments.

Document & Data Management

Create and manage spreadsheets, reports, and tracking tools using Excel.

Maintain records, logs, and documentation required by leadership.

Qualifications

Required

Proven experience as an Executive Assistant or senior-level administrative professional.

Advanced proficiency in Microsoft Office

, especially Outlook, Word, and Excel.

Strong written and verbal communication skills.

Demonstrated ability to multitask, prioritize, and work independently.

Professional demeanor, confidentiality, and sound judgment.

Experience interacting with executives, board members, and customers.

Preferred

Previous experience in property management, real estate, hospitality, or a similar operational environment.

Position Details

Compensation:

$55,000-$60,000 depending on experience

Hiring Timeline:

Immediate need - an expedited start is preferred (2-week availability ideal)
