Position Information Hiring Department: Registration and Records

Reports To: Associate Registrar

Job Location: El Paso, Texas

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends.

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $30,000.00 Annually

Position Summary Provides administrative support to the Registration and Records Office by performing the following duties.

Statement Of Duties And Responsibilities

Works closely with the Office of University Events in preparing and gathering candidate information in preparation for Honors Convocation and Commencement.

Communicates with colleges and departments concerning candidate information needed for Honors Convocation and Commencement.

Communicates with students about release of the withholding of directory information.

Receives from the Student Business Services Office completed and paid graduation application fees, reviews for accuracy and posts the pending degree information in Banner.

Works closely with the Information Technology Department programmers to develop/modify web reports used to extract data for Honors Convocation and Commencement, and the posting of degrees.

Works closely with the CAPP Coordinator concerning degree compliance reports.

Works closely with the contracted Commencement Photographer about commencement arrangements to include submission of candidates’ lists.

Provides lists used for the Honors Convocation and Commencement to the University’s Print Shop for the program booklets, Prospector Newspaper, and Communications Office.

Orders diploma covers from vendor.

Produces reader cards and assigns the sitting order on each card.

Provides statistical reports for commencement and distributes reports.

Coordinates RSVP setup with Tassel and collection of attendance numbers for commencement.

Organizes and coordinates layout of Commencement Check-in in Auxiliary Gym and candidate line up in Memorial Gym.

Obtains graduation lists from college deans and posts degrees and honors in Banner, and provides verification reports to deans on posted degrees for their review and approval.

Provides electronically via the Michael Sutter Diplomate software graduates’ names, degrees and honors information to the vendor used to print the diplomas.

E-mails graduates when diplomas are to be mailed out.

Processes diploma reorders and electronically forwards information to the vendor.

Processes complimentary transcripts for graduated students.

Answers questions and addresses issues concerning diploma requests.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Required Qualifications

Education: Associate's degree.

Experience: Two years of experience, related to the statement of duties and responsibilities; or equivalent combination of education and experience.
