This role supports the planning and execution of tradeshows, events, and product launches within the Marketing department. The position is responsible for coordinating logistics, timelines, and cross‑functional deliverables to ensure successful events and on‑time go‑to‑market execution. Working closely with marketing, product, merchandising, sales, and external vendors, this role helps maintain operational and brand consistency, documentation, and communication across programs and initiatives.
Responsibilities Tradeshow and Event Coordination For All Shows
Manage event registration for all domestic tradeshows and events, including contracts, payments, and invoice tracking.
Maintain an internal calendar of company tradeshows and events and manage planning timelines.
Track tradeshow marketing materials and coordinate shipping to and from events.
Support the development and execution of event‑specific marketing materials.
For National Shows
Support all aspects of national tradeshows and events, including booth and display logistics, transportation of instruments and materials, and vendor coordination.
Coordinate event budgets with the finance team; track expenses and support budget reporting.
Support event marketing and lead generation efforts; track performance and contribute to post‑event evaluation and process improvement.
Product Launch Coordination
Coordinate cross‑functional project and timeline management for product launches, ensuring all go‑to‑market deliverables are aligned and completed on time.
Support the development and coordination of dealer‑facing marketing and training materials in collaboration with marketing, product, and sales teams.
Track product marketing deliverables and maintain launch documentation, timelines, and checklists.
Serve as a point of contact for internal stakeholders regarding launch status, timelines, and deliverables.
Additional Responsibilities
Coordinate requests for marketing assets related to product launches and events, ensuring timely delivery and version control.
Support the organization and maintenance of shared marketing assets, templates, and event materials.
Support the Director of Marketing and Communications with special projects related to events, product launches, and departmental initiatives, as assigned.
Qualifications
3+ years of experience in event planning, logistics, or marketing coordination
Experience supporting cross‑functional projects and managing timelines, deliverables, and deadlines
Knowledge of music and/or band instruments preferred
Proficiency in Microsoft Office; experience with Adobe Creative Suite and project management tools is a plus
Experience supporting marketing activities such as content development, lead generation, copywriting, or performance tracking
Highly organized multitasker with the ability to manage multiple projects independently and collaboratively
Excellent verbal and written communication skills
Strong attention to detail with the ability to problem‑solve and adapt in a fast‑paced environment
Ability to work evenings and weekends as needed for event setup, execution, or travel (less than 15%)
Ability to perform sedentary work for extended periods, with occasional physical tasks including lifting and transporting items weighing 20+ pounds (ex. instruments, promotional materials, event displays)
