Position Summary The Group Events Manager is responsible for the execution and delivery of all hosted group experiences at The Centre, including birthday parties, corporate events, school programs, team‑building activities, and social gatherings.

While events are booked online or secured by the Group Sales Manager, this role owns everything that happens next – staffing, preparation, event flow, guest experience, follow‑up, and operational refinement.

With the launch of The Clubhouse Family Fun Centre, hosted events represent a major growth channel for The Nittany Valley Sports Centre’s. This role plays a central part in building scalable systems, training standards, and execution excellence that ensure every event is seamless, energetic, and memorable.

Success in this role is measured not by sales quotas, but by flawless execution, team leadership, and guest satisfaction.

Birthday parties always include a minimum of two dedicated party hosts

One host focused on the birthday family and parents

One host fully engaged with the children celebrating

Group and corporate events are executed with the same attention to detail, energy, and hospitality

Strong systems, checklists, and standards guide every event

The focus is always on great experiences, not hard selling

The Group Events Coordinator ensures these standards are delivered consistently.

Essential Duties and Responsibilities Event Staffing and Scheduling

Hire, train, schedule, and supervise Birthday Party Hosts and Group Event Hosts

Ensure proper staffing coverage for all scheduled events

Coordinate staffing needs based on event size and complexity

Provide coverage for last‑minute call‑outs when necessary

Maintain consistent on‑site presence during events and step into active event roles as needed to ensure staffing coverage and uphold execution standards

Training & Quality Control

Train event staff on:

Event flow and timing

Guest engagement and hospitality

Child supervision and safety expectations

Set up, tear down, and cleaning standards

Communication with parents, group leaders, and organizers

Observe events and coach staff to maintain high execution standards

Reinforce expectations through ongoing feedback and support

Inventory and Supplies

Ensure all party and event supplies, equipment, and consumables are stocked

Monitor condition and readiness of event‑related equipment

Lead the restocking and/or replacement efforts

Guest Follow‑Up and Experience Building

Follow up with birthday families and event organizers after events

Gather feedback and share insights with leadership

Support organic growth by encouraging repeat visits, referrals, and future bookings through great experiences, not direct sales

Administration & Internal Communication

Review upcoming event schedules and notes in the booking system

Communicate clearly with the Group Sales Manager, front desk, food service, and operations teams

Coordinate event timelines and space layouts

Oversee event‑day logistics for corporate and school groups

Support execution of larger‑scale seasonal or community events

Assist in refining event processes, SOPs, and checklists over time

What This Role Is Not

This position is not responsible for booking or selling events beyond providing an exceptional experience and following up with guests

This role does not involve cold outreach, lead generation, or proposal writing

Sales responsibility remains with the Group Sales Manager

Success in this role results from exceptional execution and guest satisfaction, not sales quotas.

Qualifications & Ideal Candidate Profile

MUST enjoy working with children, families, and groups in a high‑energy environment

MUST be dedicated to making people happy

Strong organizational and people‑management skills

Comfortable hiring, training, and supervising part‑time staff

Calm under pressure and solutions‑oriented

Reliable weekend availability required

Prior experience in education, camps, childcare, hospitality, or youth programming preferred

Comfortable using scheduling and booking software tools

Physical & Work Environment Requirements

Ability to stand and move throughout the facility for extended periods

Ability to lift and move party supplies and light equipment

Comfortable working in active, noisy, and energetic environments

Path to Full-Time This position is expected to start as a part‑time role, typically 20–25 hours per week, with hours concentrated on weekends and event days.

As event volume expands, this role has a clear path to a full‑time leadership position overseeing all group event and conference services at The Centre. Some of the factors will include:
