Description

Principal Function : The Customer Service Representative (CSR) provides excellent customer service by assisting visitors, responding to inquiries, processing registrations and rentals, supporting Parks Department staff in administrative tasks, and assisting with program planning and implementation. This role ensures a positive experience for residents, visitors, and partners while helping deliver successful Parks Department programs and events.

Essential Duties and Responsibilities:

Duties include, but are not limited to: Greet visitors and customers, maintaining a professional and welcoming front desk presence. Answer phones, respond to emails, and provide accurate information on park policies, programs, and services. Assist customers with program registrations, facility rentals, dog park memberships, and other forms of applications. Manage facility rental processes, including data entry, payment processing, follow-ups, and refunds. Resolve customer complaints or service issues by identifying the cause, explaining solutions, coordinating corrective action, and following up to ensure satisfaction. Promote additional park services and programs to customers when appropriate. Assist staff in planning, coordinating, and implementing parks programs and events, including preparing materials, supporting logistics, and communicating with participants. Provide input and feedback on program improvements based on customer interactions and observations. Support staff with administrative tasks, including logging data, preparing forms, receipts, letters, reports, memos, and maintaining accurate customer and volunteer records. Maintain an organized filing system and assist staff in locating files and documents. Assist with special events, both indoors and outdoors, including during inclement weather. Coordinate correspondence with other departments, contractors, and community partners. Assist with incoming and outgoing mailings. Attend meetings as required. Perform other duties as assigned by the Executive Assistant or Parks Director. Supervisory Participation and Control : This position does not have any supervisory control.

Qualifications:

Education and/or Experience:

A High School Diploma or GED and a minimum of three (3) years of experience in customer service and computer operations, or an equivalent combination of education, training, and experience.

Knowledge, Skills, and Abilities:

Strong customer service orientation with a "sales mentality" for promoting parks programs and events. Excellent communication skills, both verbal and written, with the ability to present information clearly in a distracting environment. Solid administrative skills, including organization, attention to detail, and ability to meet deadlines. Proficient in Microsoft Word, Outlook, Excel, and PowerPoint; able to operate standard office equipment. Dependable, ethical, and safety-conscious. Basic knowledge of English grammar, spelling, and punctuation. Ability to assimilate information from multiple sources to create clear communications. Average typing skills. Must have a safe work record with good ethics and dependable attendance. Must have and maintain a verifiable Indiana Driver's License, a demonstrated safe driving record, and must remain insurable through the Town's liability insurance carrier.
