The Role
We are seeking a highly organized and detail-driven Sales Coordinator to support our Sales and Account teams. This role acts as the operational engine behind revenue, ensuring proposals, quotes, orders, and production timelines are accurate, timely, and client-ready. You will work cross-functionally with Sales, Operations, Production, and Accounting to ensure seamless execution from initial opportunity through delivery. This role is ideal for someone who thrives in structure, enjoys supporting deal flow, and wants to grow into an Account Manager or Sales leadership role. How You’ll Impact the Business
The Sales Coordinator partners closely with Business Development Managers (BDMs) and Account Managers to keep opportunities moving and ensure flawless execution. Key Responsibilities
Sales & Opportunity Support Translate sales notes into actionable internal requests and workflows Assist in preparing client-ready proposals and pricing materials Quoting & Proposal Development
Gather supplier quotes and pricing details Prepare pricing spreadsheets and cost breakdowns Provide inventory availability, MOQs, and lead time data Coordinate sample shipments and tracking Work with Operations to provide clear production timelines and approval milestones Artwork & Product Requests
Submit artwork and mockup requests based on sales notes Coordinate revisions and ensure deliverables meet client expectations Escale complex requests to design/sales teams when needed Order Processing & Production Coordination
Submit orders upon receipt of purchase orders and required details Issue sales confirmations for client communication Coordinate with production and operations to track approvals and timelines Provide ongoing updates on estimated ship dates and milestones Coordinate UPCs, labeling, ticketing, and finishing requirements Ensure artwork, packaging, and finishing details are documented correctly Maintain accuracy of SKUs, descriptions, and product details Timeline & Production Tracking
Work with Operations and Production teams to relay updates and approval deadlines Track key milestones and flag risks proactively Provide invoices to sales teams for client distribution Coordinate with Accounting on overages, shortages, and adjustments What We’re Looking For
Experience & Skills
Experience in sales support, production coordination, or account coordination Strong organizational and workflow management skills Ability to manage multiple moving parts with precision Comfortable working cross-functionally across departments Familiarity with Slack, ClickUp, or project management tools Apparel or promotional product industry experience is a plus Detail-obsessed and process-driven Calm under pressure and deadline-focused Proactive communicator who prevents issues before they arise Commercially aware and supportive of revenue growth Team player who thrives in a fast-paced environment Monday–Friday, 8:00 AM – 5:00 PM In-office role based in Phoenix, Arizona Growth Path
