Position Summary

The Assistant Administrator supports the Administrator in the day-to-day operations and overall management of the Assisted Living Facility. This position ensures compliance with New York State Department of Health regulations, promotes high standards of resident care, supervises department heads, and assists with family relations, staffing, and operational efficiency. Key Responsibilities

Regulatory Compliance & Quality Assurance Assist in ensuring compliance with NY State DOH regulations, policies, and procedures.

Support the implementation of quality assurance and performance improvement initiatives.

Participate in inspections, surveys, and audits, ensuring corrective actions are taken.

Operational Management Oversee and coordinate daily operations in the absence or at the direction of the Administrator.

Monitor staffing levels and schedules to ensure adequate coverage and efficiency.

Assist in budget management, cost control, and resource allocation.

Resident Care & Services Ensure that residents receive high-quality, person-centered care and services.

Help address and resolve resident and family concerns promptly and professionally.

Participate in resident care planning meetings and case conferences as needed.

Staff Supervision & Training Assist with supervising department heads, including nursing, dietary, housekeeping, maintenance, and activities.

Provide support in hiring, training, coaching, and evaluating staff.

Promote teamwork and positive employee morale throughout the facility.

Communication & Public Relations Maintain effective communication with residents, families, staff, and external partners.

Represent the facility in community outreach, tours, and events as directed by the Administrator.

Collaborate with the Administrator to foster positive relationships with regulatory agencies and vendors.

Other Duties Serve as acting Administrator in their absence, when delegated.

Participate in on-call rotation as needed.

Perform other related duties as assigned.

Qualifications

Bachelor’s degree in Healthcare Administration, Public Health, Business Administration, or a related field (Master’s preferred).

Minimum 2–3 years of experience in healthcare or long-term care administration; assisted living experience strongly preferred.

Knowledge of NY State Assisted Living regulations and DOH compliance requirements.

Strong leadership, organizational, and interpersonal skills.

Ability to handle confidential information with discretion.
