Job Description Summary Assistant Property Manager is responsible for assisting the Property Management Team under the direct supervision of the Director of Property Management. Support of the Property Management department includes Property Management and Facility Management. Support of the Construction Department is also required as well as other departments within the Organization (Leasing, Accounting, etc.), as directed by the Director of Property Management. The Assistant Property Manager position is an in office/onsite 8:00 am – 5:00 pm professional position that will conduct a variety of detail‑oriented, administrative tasks with a high level of professionalism to achieve successful day‑to‑day operations and foster positive relationships with tenants, contractors, and all that interact with the Property Management team and Price Real Estate.
Essential Functions and Responsibilities
Education: High school diploma or equivalent required. Some college/ degree preferred.
5+ years’ work experience in Property Management required
A minimum of two years’ administration experience with client support, record keeping, multitasking and organizational skills required, preferred experience in Commercial Real Estate
Advanced skills in Microsoft Word, Excel and Outlook.
Strong written and verbal communication skills.
Proficiency in the use of standard office equipment.
Reliable and predictable attendance required.
Reliable source of transportation required.
Ability to work well under pressure in a fast‑paced environment, with excellent time management, communication, organizational and multitasking skills.
Ability to communicate concise and timely responses to requests, concerns, and issues.
Demonstrate the ability to successfully function as a member of a team through communication while engaging in self‑directed resourcefulness while meeting expectations as outlined by direct supervisor
Ability to learn new ways of completing tasks to meet expected outcomes as outlined by direct supervisor and Team.
Ability to maintain confidentiality of all company, tenant, and vendor information.
Ability to maintain professional skills while occasionally working in stressful situations.
Must be able to effectively communicate with clients and team members, as well as able to interpret instructions and exchange accurate information to meet the expectations of the team.
Essential Physical Abilities Required
Must be able to remain in a stationary position at least 50% of the time, occasionally attend construction site meetings which may include walking active construction sites and roof(s) as well as around and within active buildings that may be more than 500,000 sq ft, climb a ladder, lift or carry objects up to 30 pounds.
Must have sufficient visual and mental perception, which allows the employee to comprehend written work requirements, and determine necessary actions required to meet the finished product standards and remain safe within active job sites and tenant spaces.
A Typical Day of a Property Manager Includes Performing These Essential Duties and Responsibilities Which Include but Are Not Limited to Those Listed Below
Support Director of Property Management and property management team, in efforts to protect, maintain, and enhance the properties within the Portfolio in a Class A manner as required by Lease Agreements, Owner expectation, insurance requirements etc.
Complete Property Management responsibilities as requested by Director of Property Management to best serve tenants, Ownership/ Executive Team and other Departments within the Organization.
Support Property Management, Facility Management as well as coordination with Construction, in a fast‑paced office and on‑site environment(s) to ensure success per the Ownership and Lease requirements.
Manage portfolio of properties under the direct supervision of the Director of Property Management. Portfolio size to be determined.
Includes weekly site visits of exterior space(s) and minimum quarterly site visits of interior Tenant space(s)
Complete and manage inspection reports/ punch lists, etc. to be sent to Tenant’s, contractors, other departments, to complete per specified requirements
Manage due dates and work per the specified requirements
Manage calls, email notifications from tenants, contractors, and vendors to summarize and follow up on action items as directed by Director of Property Management and to complete tasks required of the role
Dispatch/ schedule Facility Managers, contractors or other team members to field such at the direction of the Director of Property Management
Complete calendaring, monitoring and maintaining critical dates as well as follow up action items to achieve desired outcome(s)
Monitor notice(s) and delinquencies and compete required follow up action items
Document management and general paperwork as part of the management of the Properties where it pertains to Property Management and as directed by the Director of Property Management
Management and completion of Vendor Contract documents
Management of Contractor and Tenant Insurance Certificates to the required standards
Maintain all hard and digital files including creation, organizing, and retrieving, filing, copying, scanning, packaging, faxing, emailing, note taking and transcription.
Update and maintain property information in online files and databases as well as hard files within the office.
Use of Yardi software is required and expected.
Complete preparation of Budgets, corresponding project lists in preparation of Ownership review, and distribution to tenant’s and internal team members and outside contractors.
Coordination, management and oversight of site work with Tenant(s) and or Contractor(s), with oversight from Director of Property Management. To include assisting Construction Teams, under supervision of Director of Property Management.
Invoice review, documentation and approvals weekly/ when needed to ensure on time and accurate payments in line with approved budgets
Other duties as assigned by Director of Property Management.
