Job Description We are seeking a Closing Transaction Coordinator with experience in real estate transactions and title closings to work closely with our affiliated law firm. The ideal candidate will have a background in coordinating real estate closings, preparing title and loan documents, and supporting attorneys and paralegals with legal administrative tasks. This role requires attention to detail, strong communication skills, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities Title Closing Coordination
Obtain copies of and lightly review title commitments, settlement statements, and closing documents
Calendar closing dates on the firm calendar
Print closing documents or set up documents for e-signing, handle witnessing, notarizing, and scanning of documents; scan documents, share documents with appropriate parties, and ship documents back to title agents via overnight courier
Post trust account funds and coordinate wire transfers for real estate transactions
Oversee post-closing processes, including recording documents, if applicable
Administrative Assistance
Provide administrative support to team, including drafting correspondence and organizing legal documents
Assist in the preparation of real estate transaction documents, including purchase agreements, deeds, and affidavits
Maintain accurate client records
Manage client communications and provide updates on matter progress
Client & Administrative Support
Serve as a point of contact for real estate transaction clients, addressing inquiries and coordinating follow-ups
Schedule client meetings, document signings, and attorney consultations
Handle courier services (UPS, FedEx) and overnight deliveries as needed
Cross-train office staff to ensure seamless workflow and coverage across key administrative tasks
General Office & Compliance Duties
Ensure all legal documents are filed, stored, and managed efficiently
Maintain confidentiality and uphold the highest ethical standards
Assist with firm-wide projects and legal research when required
Qualifications
Minimum 2 years of experience in title closing or real estate law (required)
Experience in a legal support role within a law firm or title company
Strong knowledge of title insurance, closing processes, and escrow procedures
Proficiency in Microsoft Office Suite and familiarity with title software (e.g., Closer's Choice, Qualia, or similar)
Familiarity with Clio or similar legal practice management software is a plus
Excellent organizational, multitasking, and communication skills
Ability to handle confidential information with discretion
Work Environment & Additional Requirements
Must be comfortable working in a pet-friendly office (dogs are welcome!)
This position is on-site in Orlando, with no potential for hybrid flexibility
