Description Donor Relations Coordinator Hand to Hold® is a national non‑profit 501(c)(3) organization that provides compassionate in‑person and virtual support to NICU and bereaved parents before, during and after a NICU stay. This early intervention mental health support is available at no cost to NICU families across the United States.

As a Best Place for Working Parents® business for four consecutive years (2022‑2025), our dynamic, growing organization seeks a Donor Relations Coordinator to join our team in Austin, TX. Reporting to the Development Manager, this person will play a vital role in helping to bring our 3‑year strategic plan to life by leading and executing an integrated donor engagement strategy to recruit and retain individual donors through a meaningful donor experience.

Key Responsibilities Portfolio Management & Donor Relationship Development (40%)

Manage and grow a portfolio of donors in the $250–$7,500 annual giving range

Conduct donor discovery, qualification, and relationship‑building

Execute outreach through calls, emails, handwritten notes, meetings, and personalized stewardship

Track engagement through moves management in CRM

Maintain portfolio documentation and engagement plans

Support cultivation and stewardship of $7,500+ donors with the Executive Director and Development Manager

Monitor portfolio engagement performance and retention indicators

Individual Giving Growth & Campaign Execution (25%)

Support individual donor campaigns from planning through completion

Provide campaign briefs, strategy, goals, and direction to internal partners

Execute donor engagement follow‑up across channels:

Direct mail

Email

Social media (with marketing)

Phone calls

Text messaging

Face‑to‑face outreach

Support and maintain the annual development campaign calendar

Utilize donor insights and research to refine fundraising strategies

Share campaign insights and learnings across teams

Stewardship & Donor Experience (20%)

Execute Giving Society stewardship

Coordinate donor appreciation activities and recognition

Prepare donor packets and stewardship materials

Track acknowledgment timelines and stewardship touchpoints

Author and maintain stewardship SOPs

Support gift and appreciation logistics

Develop personalized cultivation and recognition plans

Nurture and grow the monthly giving program

Events & Cross‑Team Collaboration (15%)

Support event sponsor pitching and communications

Assist with campaign and event donor engagement follow‑up

Prepare agendas, take notes, and track action items for donor‑related meetings

Ensure administrative readiness for campaigns and events

Identify opportunities to integrate donor engagement into organizational initiatives

Collaborate across teams

And other duties as assigned

We Need You to Have

Exceptional verbal and written communication skills with great attention to detail.

Three to five years equivalent experience in nonprofit fundraising focused on individual donors.

Strong interpersonal skills, relationship‑building, empathy, and ability to engage donors meaningfully.

Adaptability and flexibility in a fast‑paced nonprofit environment.

Comfort working with spreadsheets, documents, and tracking systems.

Strong commitment to the ethical handling and management of donor information.

Embody qualities of integrity, professionalism, credibility, and a strong commitment to Hand to Hold's mission.

We Want You to Have

Personal experience with the Mission: Having personal experience with a child or loved one in the NICU is preferred.

Bachelor's degree in Marketing, Communications, or Business is preferred. Relevant work experience may suffice.

Career‑minded individual: Motivated for learning and skill development as opportunities for advancement based on demonstrated performance are available.

Pay & Benefits

Full‑time, exempt, salaried position of $50,000 open to applicants in the Austin, Texas metropolitan area

Benefits provided include

Generous time off

184 hours of paid time off (includes sick time and mental health days)

15 paid holidays per year plus all working days after Christmas Day through New Year’s Day
