VOA is seeking a
Communications & Relations Coordinator
to support our Ministry department. Based in VOA's National Offices in Alexandria, Virginia, the selected candidate will support VOA's National Ministry by managing internal communications, coordinating event registration and follow‑up, maintaining ministerial records and supporting communications that enhance connection across the ministry network. While not directly involved in fundraising, this position works in close collaboration with the Development and Marketing teams to provide timely ministry content for use in donor messaging, updates and campaigns.
This position is Full‑Time (up to 40 hours per week) and is fully On‑Site
Primary Responsibilities Coordinate Ministry Communications and Content
Draft and distribute internal communications to ministers and members, including event announcements, ministry updates and quarterly newsletter
Monitor the shared ministry email inbox; respond or escale inquiries appropriately, including confidential or time‑sensitive matters
Maintain the Ministry Department Calendar, adding key meetings, credentialing deadlines and scheduled communications
Support the preparation and scheduling of messages related to recurring ministry campaigns and meetings (e.g., Iron Sharpens Iron)
Provide Content for Donor Communications
Collaborate with the Development and Marketing teams to supply timely ministry updates, impact stories and reflections
Draft message templates and thank‑you notes for ministry leadership to personalize for donor acknowledgments
Ensure all materials reflect the spiritual voice and values of VOA’s National Ministry
Manage Ministry Event Registration and Support
Create and maintain online event registration forms (e.g., CVENT); monitor RSVPs and provide reports to the ministry team
Send pre‑ and post‑event communications, including confirmations, reminders and follow‑ups
Coordinate participant communications and support basic event logistics alongside other ministry staff
Support Credentialing and Ministerial Application Processes
Monitor incoming applications for credentialing and confirm submission completeness
Communicate with applicants regarding missing documentation or next steps
Maintain organized digital records and submit ministerial job descriptions for IRS review when needed
Provide weekly or monthly progress updates to credentialing
Maintain Ministerial Contact and Status Records
Help maintain an up‑to‑date database of all credentialed ministers and members
Input changes to contact information, credentialing status or role transitions
Ensure records reflect current engagement and compliance
Required Knowledge, Skills and Abilities:
Strong written and oral communication, organizational and interpersonal skills with ability to manage multiple projects simultaneously is a must
Experience with CRMs, email tools and event registration platforms preferred
Proficiency in Microsoft Office
Discretion and professionalism in handling confidential or sensitive material
Comfortable working independently and collaboratively in a ministry or nonprofit environment
Ability to align communication style with faith‑based values and messaging
Physical Capabilities
Lifting: Requires lifting materials up to 10 lbs.
Ability to stand or sit at a computer for prolonged periods

Education And Experience
Bachelor’s degree in Communications, Public Relations, Ministry or a related field is required (additional experience in Event Coordination or Database Management is a plus)
0–2 years of relevant experience in Communications, Administration or Ministry support within a nonprofit (and/or a faith‑based setting) is preferred
