
Executive Assistant to CEO and VP of Sales at Fast-growing AI Startup

Fast-growing AI startup AI is looking for an Executive Assistant to support their CEO and VP of Sales. With their recent Series B led by top-tier investors, this is an exciting opportunity to join a high-growth team of 120 at a critical growth point. In this role, you'll support the CEO and VP of Sales, manage two busy calendars, provide full inbox management and communications efficiently, and act as a point of contact to stakeholders and team members. You will work alongside the CEO's Personal Assistant on projects as needed, and ensure alignment between work and person. Someone who can move quickly, work autonomously and proactively, taking ownership, and is a true executor and build trust through execution and reaction time rather than over-communication. Previous experience supporting leaders in high-growth startups or fast-moving tech environments is a must. This is an in-office role based in San Francisco near Oracle Park. 160-170K+ DOE + equity, benefits including some coverage for dependents, 401k, commuter benefit and lunch provided daily.
Responsibilities
Provide day‑to‑day support to the CEO and VP of Sales.
Manage high‑volume calendars for the Executives, maintaining a structured meeting window, prioritizing critical and time zone–sensitive requests, and optimizing daily flow.
Coordinate frequent domestic and occasional international travel, including detailed itineraries and seamless handling of last‑minute changes.
Provide dynamic operational support, particularly to the VP of Sales, by organizing shifting priorities, tracking commitments, and handling logistics.
Serve as a key point of contact for internal and external stakeholders, streamlining communication and driving follow‑through on key priorities and initiatives.
Anticipate needs proactively and take ownership of tasks and projects.
Qualifications
Previous 5+ years of experience as an Executive Assistant supporting C‑suite executives in high‑growth startups or fast‑moving tech environments.
Autonomous and proactive with a strong ownership mentality, building trust through rapid response time and reliable execution.
Ability to move quickly and keep up with the pace of a fast‑moving team. Ability to handle high volume, fast pace, and constant context‑switching without losing quality
Structured and detail‑oriented with a strong organizational and process‑driven approach, while remaining flexible and adaptable to working styles.
Strong written and verbal communication.
Discreet with strong judgment, capable of protecting executive time and managing sensitive information.
Proficient with Slack, Signal, Notion, text, and other fast‑communication tools.
