
Executive Assistant/Operations to CEO at Stealth Mode AI Startup

Overview
AI startup building specialized agents is looking for an Executive Assistant/Operations Manager to support their CEO and Co-Founder/CTO. The company just raised a sizable seed round and is preparing to launch out of stealth in the next month, so it's an exciting opportunity to join a brilliant, hardworking team of 12. In this role, you’ll provide dedicated support to the CEO and light support to the Co-Founder/CTO, managing calendars and priorities, managing inboxes, booking travel and logistics, and keeping executives on top of tasks with proactive follow-up. You’ll also plan off-sites and dinners, own the operational side—managing the office, overseeing payroll, onboarding, and light legal coordination. There will also be light personal coordination for the CEO. Someone with high agency and ownership, who is responsive and willing to wear multiple hats to jump in to fill gaps without being asked. Previous experience supporting a CEO or leadership executive in a high-growth startup who can keep up with the pace and scale. This is an in-office role based in SoMa, SF. 140-190K+ DOE + equity, generous benefits, bonus, flexible PTO, lunch/dinner provided, transportation coverage, and a gym in the building.
Responsibilities
Provide dedicated support to the Executives through calendar management, priority alignment, and proactive follow-up.
Manage scheduling, travel, and logistics while ensuring executives stay on top of tasks without needing to chase updates.
Plan and coordinate off-sites, team dinners, and social events that foster connection, culture, and engagement.
Support executive presence and relationship management by helping maintain networks and external connections.
Oversee operational functions outside of product, engineering, and sales, including payroll coordination, onboarding support, and basic legal administration, while engaging appropriate stakeholders as needed.
Partner cross-functionally to support events, outreach efforts, and internal initiatives.
Handle a wide range of operational and administrative tasks with flexibility and sound judgment in a fast-paced environment.
Qualifications
Previous experience as an Executive Assistant supporting a CEO or senior executive in a high-growth technology or startup environment.
High ownership and agency with a proactive, solutions-oriented approach to work.
Strong organizational skills with the ability to manage multiple priorities and context-switch effectively.
Highly responsive, reliable, and consistent in follow-through and execution.
Personable and collaborative, with the ability to build positive relationships across teams.
Detail-oriented with a growth mindset and a willingness to step in and fill gaps as needed.
Proficiency with modern productivity and collaboration tools such as Google Workspace, Notion, Slack, Superhuman, Linear, or similar platforms.
