The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Performs moderately complex, self-directed, clerical, and administrative assistance to the Community Relations Director, other Community Relations personnel, Volunteers, and the Volunteer Services Council. Serves as receptionist for the Community Relations Department, including but not limited to: assists with and answers inquiries from volunteers, employees, residents, family members/friends, visitors, and the public daily. Responsible for receiving and receipting for donations, maintaining and balancing the petty cash fund, entering information in QuickBooks, and reconciling cash receipts and deposits. Writes and sends correspondence, memorandums, sponsorship packets, and reports. Responsible for notifying board/committee members of upcoming events and meetings. Maintains a donor database via computer program. Maintains department filing system and orders supplies. Helps plan, prepare, organize, and conduct special events, projects, and any assigned task. Works varied schedule during Christmas Season and for other special projects/events. Always portrays AbSSLC, those who live here, and those who work here in a positive manner. Works closely with Center staff and volunteers. Works under the general supervision of the Community Relations Director with moderate latitude for the use of initiative and independent judgement.

Essential Job Functions (EJFs)

Assist the Community Relations Director and Department with all fundraising activities and solicitations.

Works closely with other employees and volunteers.

Ensures Community Relations Department adherence to Texas Statutes, HHSC Rules, Volunteer and Community Engagement Policy and Procedure Handbook and all applicable facility, departmental and Volunteer Services Council Policies.

Prepare and/or maintain department and Abilene Volunteer Services Council correspondence and mailings.

Receive, receipt, log, and input all monetary donations, in-kind donations and oversee petty cash fund according to policy and procedures for facility and VSC.

Serves as receptionist for the Community Relations Department and Volunteer Services Council.

Serves as designee to property custodian for Community Relations Department to ensure accountability of assigned property.

Leads the SECC campaign.

Provides clerical assistance to the Community Relations staff and Volunteer Services Council to ensure smooth operation of the department and Council.

Recruits, organizes, coordinates displayers for Christmas Lane.

Other duties as assigned by supervisor which may include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Knowledge, Skills and Abilities (KSAs)

Knowledge of Office practices and administrative procedures.

Must have good organizational skills.

Must have good math/accounting skills with a high degree of accuracy.

Must have good communication skills (verbal and written).

Ability to read, write, understand and follow complex oral, and written instructions and learn assigned tasks readily.

Must have the ability to prepare concise reports in a timely manner.

Must maintain confidentiality.

Must have good handwriting skills.

Registrations, Licensure Requirements or Certifications Must possess valid Texas driver's license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.

Initial Screening Criteria Graduation from an accredited high school or GED, plus six (6) months of work experience in clerical/administrative assistant duties.

Additional Information Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).

Males between the ages of 18 – 25 must be registered with the Selective Service.

All State Supported Living Center Employees are subject to Random Drug Testing.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
