Position Overview
Are you looking to play a pivotal role at one of the fastest-growing AEC (architecture, engineering, and construction) firms in the United States? As UES continues its rapid expansion, we are looking for a Proposal Specialist to support our National Accounts by providing the administrative and operational structure necessary to win high-stakes work.
In this role, you will drive the production of proposals, qualifications packages, and marketing materials for RFPs, RFQs, and RFIs. Partnering with the Proposal Manager and collaborating with technical and business development teams, you will ensure every submission is clear, accurate, and strategically aligned with both UES standards and client requirements.

Responsibilities
Assist in drafting, editing, formatting, and proofreading proposal content including project descriptions, resumes, cover letters, and other response materials.
Support the compliance review of RFP requirements, helping to ensure responses align with client specifications and internal quality standards.
Collaborate with technical staff, marketing, and other proposal contributors to gather content and ensure timely responses.
Help maintain and update boilerplate text, staff bios, project sheets, and proposal templates within the content library.
Format and assemble final proposal documents in accordance with company branding and visual standards using tools like InDesign and Microsoft Office.
Track proposal-related tasks and deadlines, maintaining checklists and status updates throughout the proposal lifecycle.
Support the production, delivery, and archiving of submitted proposals.
Participate in proposal kickoff meetings, internal reviews, and debrief sessions to gain exposure to best practices and team coordination.

Qualifications
Bachelor’s degree in Marketing, Communications, English, Journalism, Business, or a related field.
1–3 years of experience in proposal development, marketing, technical writing, or a related field; experience in A/E/C, environmental, or professional services preferred.
Strong writing, editing, organization, and communication skills with attention to detail.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); experience with Adobe InDesign or Creative Cloud a plus.
Ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.
Willingness to learn RFP response processes and apply proposal best practices in a fast-paced, deadline-driven environment.
Comfortable collaborating with remote and cross-functional teams.
Travel Requirements
This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment. The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions. The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
