AI startup building specialized agents is looking for an Executive Assistant/Operations Manager to the CEO. The company raised a sizable seed round from top-tier VCs and is preparing to launch next month, with its product already being used by some of the best engineering teams in the world. This is an exciting ground-floor opportunity to join a 12-person team with serious momentum and be a true partner to the CEO. In this role, you’ll provide support to the CEO, managing calendars, priorities, inboxes, travel, and proactive follow-ups. You’ll also plan off-sites and dinners, own the operational side of the company—managing the office, overseeing payroll, onboarding, and light legal coordination. There will also be light personal coordination for the CEO and support to the CTO/Co-Founder. Someone with high agency and ownership, who is responsive and willing to wear multiple hats to jump in to fill gaps without being asked. Previous experience supporting a CEO or leadership executive in a high-growth startup who can keep up with the pace and scale. This is an in-office role based in SoMa, SF. 140-190K+ DOE + equity, generous benefits, bonus, flexible PTO, lunch/dinner provided, transportation coverage, and a gym in the building.

Responsibilities

Provide primary support to the CEO, with light support to the CTO/Co-Founder.

Managing calendars, priorities, inboxes, travel, and proactive follow-ups.

Own operational functions, including payroll, onboarding, vendor management, and light legal and finance coordination.

Plan and coordinate off-sites, team dinners, and other events that foster connection, culture, and engagement.

Manage the CEO's external relationships and network, scheduling with investors, partners, and candidates, and keeping track of outreach.

Step into gaps across the company as they scale.

Manage office operations to ensure the workplace is supported and running efficiently.

Handle light personal support to the CEO.

Qualifications

Previous experience as an Executive Assistant supporting a CEO or senior executive in a high-growth startup environment.

High ownership and agency with a proactive, solutions-oriented approach to work.

Strong organizational skills with the ability to manage multiple priorities and context-switch effectively.

Highly responsive, reliable, and consistent in follow-through and execution.

Personable and collaborative, with the ability to build positive relationships across teams.

Detail-oriented with a growth mindset and a willingness to step in and fill gaps as needed.

Proficiency with modern productivity and collaboration tools such as Google Workspace, Notion, Slack, Superhuman, Linear, or similar platforms.
