What’s the role? Tevora is seeking a Marketing Events Coordinator to join our Marketing Events team – a key role focused on supporting the planning and execution of external marketing events that drive brand awareness, client engagement, and sales success. This position requires someone who is highly organized, detail-oriented, travel-ready, and eager to contribute to a fast-paced marketing team.
In this role, you’ll travel across the country as you coordinate and execute luxury marketing events, including concerts, dinners, sporting events and more. Your job is to embody a positive customer experience as you manage logistics to ensure events run smoothly. You’ll work with caterers and venue managers to make sure our high-end events create an executive-level experience and live up to your most discerning standards.

Necessary skills and qualifications
Bachelor's degree in marketing, events planning, or related field
3-5 years of hands‑on event planning experience
Proven ability to work with clients or internal stakeholders
Self‑starter with the ability to work independently or with a team
Exceptional verbal and written communication skills
Strong attention to detail and organizational skills
Flexible and adaptable
Working knowledge of communications and/or design software such as Word, PowerPoint, Excel, Canva, CVENT, etc.
Experience with planning software such as Monday.com
Key Responsibilities
Travel regularly across country to coordinate and execute marketing events
Event research and planning for marketing events
Coordinate day‑to‑day execution for specific events and on‑site logistics, including budget coordination and sponsor communication, with input from Manager and Director
Complete duties associated with event logistics including confirmation emails and calls; nametags and sign‑in sheet creation
Obtain presentations from director and sponsors
Maintain sponsor communication regarding pre‑event logistics and post‑event wrap‑up
Maintain sales/consulting team communication pre and post event
On‑site event coordination (overnight travel required)
Conduct post‑event duties, including sending final attendee list to sales operations and logistical wrap‑up on attendance and budget to manager the day after the event
Submit invoice request to accounting
Interface with sales representatives to promote events to prospectsMaintain accurate and up‑to‑date records of event details in project management tools such as CVENT and Monday.com
Manage sourcing and purchasing branded swag and promotional items
Manage expense reports for events team
Event registration software management (Cvent)
Collaborate with Internal Marketing Manager on internal events, to include holiday party and other events as needed
Required to work in the Fairfax, VA, Scottsdale, AZ, or Salt Lake City, UT office twice a week while Tevora is on a hybrid work schedule. Subject to change.
Administrative office management duties, such as mail processing, supply and snack ordering and organization, etc.
Other duties as assigned by marketing leads
