Position DescriptionWe are seeking a warm, highly responsive, and service-oriented Client Relations Specialist to be a key point of contact for our families and internal team. This role plays a critical part in delivering an exceptional client experience by ensuring clear communication, timely follow-up, and seamless coordination across services.The ideal candidate genuinely enjoys helping people, is calm and professional in all interactions, and takes pride in being reliable, detail-oriented, and proactive. Reporting directly to the Operations Manager, this position works closely with company leadership and team members to support clients from initial inquiry through ongoing engagement.Key ResponsibilitiesClient Experience & Customer ServiceServe as a primary point of contact for prospective and current clients via phone and emailProvide warm, knowledgeable, and professional support, ensuring all client inquiries are addressed promptly and thoroughlyBuild trust with families by listening carefully, anticipating needs, and following through on commitmentsCommunicate clearly and empathetically, especially in time-sensitive or high-stress situationsConfirm meetings, consultations, and appointments, ensuring clients and staff feel informed and supportedMaintain ongoing communication between clients and staff to ensure continuity of serviceAdministrative SupportAccurately enter and maintain client information, proposals, and account detailsTrack outstanding invoices and assist with client billing inquiriesMaintain up-to-date records in the CRM system (Monday.com experience a plus)Answer inbound phone calls and communicate clearly about services and processesProofread and prepare client-facing communications, reports, and email campaignsSupport seasonal webinars and presentations for parents and students, including moderation and follow-upGeneral ExpectationsDemonstrate strong multi-tasking skills while maintaining a calm, client-first approachRespond quickly and professionally to all communicationsTake ownership of tasks and see them through to completionContribute ideas to improve systems, communication, and overall client satisfactionQualificationsEducationBachelors degreeSkills/QualitiesPrior customer service, client relations, or client-facing experienceExcellent written and verbal communication skillsWarm, professional, and confident phone presenceStrong attention to detail and organizational skillsAbility to prioritize and manage multiple client needs simultaneouslyConsistent follow-up and follow-throughProficiency in Microsoft Word and ExcelExperience with Google Workspace and Apple products/applicationsAbility to work independently in a remote environmentHome office setup (computer, phone, reliable internet)Flexibility to attend in-person meetings in West Los Angeles approximately 3-4 times per yearAlignment with the companys mission and core valuesIdeal CandidateExperience supporting families, students, or clients in education, test prep, or service-based environmentsFamiliarity with standardized testing and/or the college application processCRM experience (Monday.com preferred)Compensation & Additional DetailsThis is a part-time, hourly, non-exempt position.
