Position Impact The Talent Acquisition Specialist supports the full recruitment lifecycle by sourcing, screening, and coordinating candidates to meet organizational hiring needs. This role manages job postings, schedules interviews, extends offers, assists with onboarding, and maintains applicant tracking systems. The Specialist partners with hiring managers, external agencies, and community organizations to build talent pipelines, enhance employer branding, and ensure a positive candidate experience while maintaining compliance and recruitment metrics.

Requirements Qualification requirements and experience:

Eligibility for US employment without sponsorship

Minimum of 18 years of age

Bachelor’s degree (B.A./B.S.) or equivalent in a related field, or one‑to‑two years of related experience and/or training; or an equivalent combination of education and experience is preferred

One or two years (within the last three years) of recruiter experience from the recruiter side with social media recruiting and sourcing is preferred

Social media certification preferred

One year experience working with outside recruiting/staffing agencies

Experience with LinkedIn Recruiting, CalJobs, Facebook Jobs, and other external recruiting platforms

Professional HR and recruiting related certifications and credentials are preferred

One to two years of related experience working with government agencies, educational providers, and other community‑based organizations that place clients in jobs and/or offer job training

Experience with ADP TotalSource and/or ADP Workforce Now is preferred

Proficient with use of applicant tracking systems (ATS), human resources information systems (HRIS), recruiting software programs, and social media recruiting platforms

Proficient with recruiting procedures and related legal and regulatory compliance, including interviews

Travel and personal transportation are required to perform job‑related duties at job fairs, events, meetings, and training and development sessions. Expenses will be reimbursed in accordance with company policy

Excellent command of English, including speaking, reading, writing, and comprehension, as necessary for effective job performance and workplace communication

Bilingual communication skills are considered a plus, particularly when serving diverse communities

Essential Duties and Responsibilities Core Recruitment Operations

Manage full job lifecycle including posting and refreshing all requisitions across internal and external job boards

Schedule intake meetings between recruiters and hiring managers to define position requirements

Create, prepare, and extend formal offer letters

Coordinate pre‑employment requirements including background checks, employment testing, and reference checks

Manage initial onboarding documentation in collaboration with HR

Candidate Sourcing & Talent Pipeline Development

Source candidates through online platforms and job boards including LinkedIn, CalJobs, Hirect, Facebook, Glassdoor, Monster, and other recruitment sources

Partner with community colleges, high schools, technical schools, and local organizations to build long‑term talent pipelines

Coordinate career fairs, onsite mixers, virtual recruiting events, and community outreach initiatives

Assist in developing enhanced sourcing strategies and networking contacts through schools, agencies, and workforce programs

Coordinate with contracted outside agencies to review candidate submissions, schedule interviews, and provide structured feedback

Application Review & Screening

Review and screen incoming resumes and applications to ensure candidates meet minimum qualifications

Conduct formal and informational interviews

Conduct employment testing as required by the position

Provide candidate evaluations and feedback to recruiters and hiring managers

Interview & Hiring Coordination

Coordinate and schedule interviews, phone screens, assessments, and hiring panels

Arrange meeting rooms and ensure interview logistics run smoothly

Serve as the primary point of contact for candidates throughout the interview process

Communicate interview details, company information, and next steps to candidates and stakeholders

Administrative & Compliance Support

Maintain and update applicant tracking systems (ATS) and candidate databases

Prepare recruitment‑related documents including offer letters, background check requests, and onboarding materials

Review job files to ensure completeness and compliance with legal, regulatory, and audit requirements

Assist with writing and placing job advertisements in newspapers, online platforms, and other media

Provide general administrative support including screening and routing calls, filing, photocopying, faxing, and mailing

Employer Branding & Recruitment Marketing

Assist in developing job descriptions, company profiles, and recruitment marketing materials

Represent the organization at schools, colleges, community agencies, and hiring events through presentations and outreach

Contribute to maintaining a positive and competitive employer brand

Candidate Experience & Onboarding Support

Ensure a positive candidate experience from initial contact through onboarding by maintaining professional, responsive communication

Collaborate with HR to support smooth onboarding transitions for new hires

Reporting & Continuous Improvement

Track and assist in reporting recruitment metrics including time‑to‑fill, source of hire, and candidate feedback

Suggest process improvements and innovative solutions to enhance recruitment efficiency and effectiveness

Conduct research to support recruiters in strengthening sourcing and networking efforts

Vehicle Maintenance and Travel

Maintain vehicle/equipment pre‑op/post‑op to be prepared to perform required duties

Maintain a clean driving record as defined by the current fleet insurance underwriter

May be required to work overtime, after hours, on weekends, for emergencies, or be on‑call as needed to ensure work is completed

Safety Awareness and Compliance

Observe hazards and report any concerns or accidents to a supervisor or safety professional; participate in the investigation process as needed

Understand, complete, and sign off all pre‑job safety planning tools at the start and end of the shift; complete all required safety‑related paperwork

Understand and respond appropriately to all safety hazards and warning devices (e.g., backup alarms, smell of smoke, fumes, odors, different colored warning tags, warning sirens)

Uphold a secure work environment by adhering to regulations, procedures, and company policies, ensuring safety standards are consistently maintained

Maintain awareness of potential hazards like uneven terrain, loose pets, or slippery walkways

Maintain a safe distance from aggressive or unrestrained animals
