The Property Administrator is the first point of contact for shareholders and residents when engaging with the on-site building management office. This role requires professionalism, responsiveness, and the ability to effectively triage resident requests while maintaining responsibility for the cooperative’s amenity memberships and various income streams (excluding the commercial real estate portfolio). Acting as the gatekeeper for the Coop’s amenities and service agreements, the Property Administrator plays a central role in ensuring accurate billing, smooth communication, and strong resident relations. This role is onsite Monday through Friday 9am – 5pm at an iconic Lower East Side, campus-style cooperative community.

Salary Range

$65,000 - $80,000

Key Responsibilities Resident & Shareholder Support

Serve as the first property management professional residents interact with at the on-site office.

Field, document and direct resident requests to the appropriate departments in a timely and effective manner.

Assist the AGM with shareholder communications by preparing draft notices, compiling data and formatting correspondence.

Ensure communications are accurate, professional and timely while final review, approval, and issuance remain the responsibility of the AGM, GM, or PM.

Manage Coop amenity spaces, including parking, gym, storage and other resident services.

Administer resident parking assignments, enforce compliance, and maintain accurate records.

Manage the operating agreement with the parking operator and other service vendors related to amenities.

Track and process all miscellaneous income revenue streams, ensuring accuracy and compliance with corporate policy.

Liaise regularly with Orsid accounting and management teams to ensure proper billing of shareholders and accurate collection of membership fees.

Maintain meticulous records of payments, penalties, and outstanding balances, including enforcement of non-compliance policies (e.g., dog log, late fees).

Administer and update the building’s key fob access system and enforce related policies.

Compile, track and analyze membership and amenities usage data, generating reports for management and Board committees.

Receive training on VTS (Voyager Tenant System) and apply it for reporting and record-keeping.

Board & Committee Support

Attend periodic local Community Board (CB) meetings and Coop affiliate meetings as needed.

Prepare notes and summaries from meetings to relay relevant updates to the Board of Directors and appropriate committees.

Qualifications & Skills

Prior experience in residential property management, real estate administration or cooperative/condominium operations preferred.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Experience with access control systems and property management platforms (e.g., VTS) a plus.

Strong written and verbal communication skills; ability to draft and format professional shareholder correspondence under management direction.

Detail-oriented with excellent time-management skills to handle multiple tasks and priorities.

Professional demeanor, customer-service orientation and ability to work collaboratively with residents, shareholders, staff and management teams.
