Position Summary Reporting to the Executive Director of CPS Sports Administration and under the direction of the school administrator, the School Athletic Director plays a critical role in overseeing the development and implementation of a comprehensive high school athletics program.

Responsibilities

Administer extracurricular athletic programs

Supervise licensed and non‑licensed staff in Athletics, including Assistant Athletic Directors, coaches, trainers, and support staff.

Maintain files and records required by policy, regulation, law and good practice (player record cards, Aspen‑eligibility, physicals, transfer paperwork, transportation requests, coaching certifications).

Respond to requests for information (OSA, IHSA, FOIA, Title IX, Law Department, Colleges for recruiting, press releases).

Implement board policies and advise the administration on regulatory matters related to athletics.

Assess department needs through consultation with students, staff and parents (equipment, budgeting, transportation, upgrades to venues, technology).

Evaluate extracurricular athletic programs and engage in long‑term planning (adding or dropping programs or levels, Title IX requirements, additional coaches or trainers).

Develop and update handbooks, brochures and policy manuals.

Inform the school community about extracurricular athletic programs (websites, emails, media, social media).

Stay current on research, issues and regulations related to athletic programs (academic, racial, gender, and socio‑economic issues in sport).

Develop a grade‑check system for student athletes.

Maintain and assure that all eligibility reports and participation lists are submitted weekly.

Develop and update team schedules on all school platforms for public viewing.

Oversee transportation for all team travel.

Develop a school safety plan for every home venue.

Monitor and support academic performance of student‑athletes

Oversee Individual Study Plan (ISP) process for academically at‑risk student‑athletes.

Develop academic support mechanisms for student‑athletes, including study hall, advising and post‑secondary guidance.

Direct and coordinate fiscal operations within the department

Engage in short‑ and long‑range fiscal planning.

Assist in preparing and implementing the school system budget and coordinate department purchasing.

Recommend capital improvements and negotiate contract agreements.

Formulate specifications to be incorporated into contracts and bids.

Serve as consultant in selecting supplies and materials.

Supervise all ticket sales and fundraising events of the athletic programs.

Administer receipt and disbursement of student activity funds.

Assist OSA with hiring and payment of coaching staff.

Supervise and guide the planning and execution of all parent volunteer organizations.

Create schedules for all operations and activities within the department

Issue timely announcements of upcoming events and deadlines.

Schedule and pay officials, athletic trainers, ticket takers, announcers, clock operators and police for home contests.

Hire, schedule and pay lifeguards for aquatic sports.

Arrange transportation for athletic contest participants.

Verify each athlete’s eligibility for competition.

Arrange all details of visiting teams’ needs.

Provide for emergency health care and first aid treatment.

Arrange practice schedules for fields, gyms and aquatics centers, including summer programs and non‑school use of facilities.

Manage contracts for each athletic contest.

Coordinate with CPS for stadium usage.

Coordinate with Chicago Park Districts to execute IGAs for athletic facilities.

Recommend, manage, supervise and evaluate staff

Recruit, screen, interview and recommend prospective coaches.

Make coaching assignment recommendations.

Ensure all coaches and staff are CPS and state certification compliant.

Supervise and evaluate coaching staff and other athletic staff.

Develop and apply a coaching evaluation system.

Support opportunities for professional development of the coaching staff.

Monitor staff time and attendance at essential meetings.

Investigate complaints regarding employee conduct or performance.

Encourage the development and use of new strategies and philosophies.

Provide staff leadership to promote athletic objectives of the district.

Assist coaches with day‑to‑day problems.

Resolve staff problems and provide support to coaches.

Coordinate development, implementation, review, and revision of the extracurricular athletic program.

Attend practices and games for evaluation and needs assessment.

Attend professional conferences to stay abreast of instructional practices.

Enforce state and city board policy on equal educational opportunity.

Develop an effective comprehensive and equal‑opportunity athletic program for all male and female students.

Advise on modification of programs to meet individual students’ academic and health needs.

Investigate complaints and grievances.

Participate in work of state and national associations.

Facilities management: manage and develop facilities

Inspect buildings, grounds, machines and equipment.

Issue repair orders and provide specifications for maintenance of athletic facilities/fields.

Determine safety and obsolescence of equipment.

Enforce compliance with occupational health and safety codes and standards.

Oversee maintenance of swimming pools in a clean, safe and sanitary condition.

Recommend watering and spraying schedules for athletic fields.

Order and oversee repairs or replacement of defective parts.

Assist in development of specifications for construction projects.

Assist in identifying and using community resources for the athletic program.

Procure space for teams outside CPS facilities.

Supervise departmental activities and operations

Coordinate public or special events (Homecoming, Senior days, Award ceremonies, fundraisers).

Supervise part‑time student help including clinical hours.

Develop and implement rules and regulations governing conduct of athletic activities.

Oversee insurance program covering school athletes.

Complete incident reports for minor to traumatic injuries.

Resolve conflicts, anticipate and address potential problems.

Organize, plan and coordinate departmental awards, including recognition of alumni, former coaches and staff.

Public relations: establish a positive image for departments within the school and the community

Interact and aid in development of feeder programs.

Plan and supervise yearly recognition program for school athletes.

Maintain records of contest results, award winners and athletic scholarships.

Conduct in‑season team meetings to review student code of conduct.

Maintain appropriate professional relationships with parents, parent groups (e.g., Athletic Boosters), school volunteers and outside agencies.

Respond to requests for information.

Oversee summer athletic programming

Ensure summer programming meets state and city compliance.

Perform other related duties as assigned to ensure efficient and effective functioning of summer athletics.

Qualifications

Education

Bachelor’s degree from an accredited college or university; Master’s degree and/or general administrative endorsement preferred.

NIAAA Registered Athletic Administrator (RAA) preferred.

Completion of Developing Competitors and Mental Wellness through Positive Coaching offered through the Positive Coaches Alliance – preferred.

Experience

Minimum of five (5) years of experience in interscholastic sports, including a minimum of three (3) years in sports program administration.

Supervisory experience preferred.

Knowledge, Skills, and Abilities

Ability to interact and communicate effectively with a variety of audiences.

Ability to coordinate and manage all aspects of the athletic program, including financials.

Ability to motivate student athletes and coaches.

Ability to make rational decisions under stressful conditions.

Proficiency using technology and applications (Microsoft Office, Google Suite, web content editing software).

Other Requirements

This role requires a non‑traditional schedule, including evening and weekend hours based on the individual school’s needs. Hours may change seasonally.

Transportation requirements.

Conditions of Employment

Establish and maintain Chicago residency. Employees must live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment.
