The Town of Auburn is seeking a dynamic and qualified individual for the full-time position of Clubhouse Manager at Pakachoag Golf Course. This key role is responsible for managing day-to-day clubhouse operations and ensuring a high-quality experience for all patrons. The Clubhouse Manager works under the direct supervision of the DPW Director and in collaboration with the Golf Course Superintendent.
Position Summary The Clubhouse Manager oversees all clubhouse activities including golf operations, staffing, food and beverage, scheduling, customer service, sales, marketing, and fiscal reporting. The ideal candidate will be highly organized, customer-focused, and capable of managing a fast-paced, public-facing environment with minimal supervision.
Key Responsibilities Operational Management
Oversee daily clubhouse operations including the pro shop, tee time reservation system, POS system, golf carts, concessions, and starter/ranger staff.
Monitor and maintain clubhouse cleanliness, functionality, and readiness for guests.
Write and implement new policies; ensure staff understanding and enforcement of all procedures.
Customer Service
Deliver exceptional customer service to all patrons; serve as the primary contact for questions, concerns, and issue resolution.
Maintain a visible and approachable presence during operating hours and peak times.
Calmly and efficiently address and resolve operational issues as they arise.
Staffing & Leadership
Hire, train, schedule, and supervise all frontline staff, including clubhouse attendants, starters, and rangers.
Develop training materials and standard operating procedures.
Provide leadership, coaching, and shift coverage as needed.
Financial Management
Handle daily cash and credit card transactions; reconcile and prepare accurate daily turn-in reports.
Make timely bank deposits and ensure compliance with municipal financial policies.
Manage budgeting, track expenses, and oversee financial reporting and purchasing.
Submit weekly payroll, weekly bill schedules, and monthly tax reports.
Ensure inventory accuracy and fiscal responsibility.
Identify and pursue relevant grant opportunities to support operations.
Marketing & Communications
Manage and update social media with regular, engaging content.
Create and distribute email newsletters and promotional materials.
Develop strategies to increase league play, junior programs, season passes, and outings.
Golf Programming
Schedule and coordinate leagues, school matches, and high school golf practices.
Sell and manage season passes, ensuring accurate records and required documentation.
Leadership Presence
Be on-site and available during all operating hours, including early mornings, evenings, weekends, and holidays during the golf season.
Work collaboratively with staff and Town departments, representing the course in a professional and community-minded manner.
Qualifications
Minimum of 2 years’ experience in golf course operations or clubhouse management.
Strong understanding of financial procedures including cash handling, reconciliation, budgeting, and procurement.
Demonstrated leadership skills and ability to multitask under pressure.
Excellent written and verbal communication skills.
Proficiency in Microsoft Word, Excel, POS systems, credit card terminals, and basic IT troubleshooting.
Experience with email marketing, social media, and community outreach.
Solid knowledge of golf operations, etiquette, league, and tournament coordination.
Valid driver’s license required.
Preferred Qualifications
Experience working in municipal or public-sector settings.
Familiarity with government budgeting and procurement processes.
ServSafe Manager Certification and Allergen Awareness Certification.
CPR/First Aid certification, or willingness to obtain.
Batchelor’s Degree preferred.
Position Details
Status: Full-Time
Salary: $60,000 - $65,000 annually
