Job Summary The
Volunteer Engagement Specialist
delivers an exceptional volunteer experience across the Educational Activities Board (EAB) and its committees by managing best‑practice processes, governance documentation, communications, awards administration, meeting planning, and volunteer support. The role ensures aligned workflows, timely information flow, accurate records, and smooth logistics for EAB leaders and committees.
The position directly supports the EAB, Nominations & Appointments Committee, and Awards & Recognition Committee, while also guiding all EA committees through standardized reporting, best practices, and volunteer engagement.
Key Responsibilities Educational Activities Board Support
Plan and support meetings, including agendas, minutes, materials, and logistics; serve as EA representative for Board Series planning.
Lead coordination for the IEEE Board Series, including invite lists, participation tracking, and shipments.
Prepare and distribute calls for agenda items, agendas, and minutes.
Manage scheduling and announcements for Board and liaison engagement.
Educational Activities Committee Guidance
Serve as liaison to staff supporting volunteer initiatives, communicating deadlines, expectations, and resources.
Provide operational support for EAB committees, including coordination and communications.
Organize regular meetings to share information and manage committee operations.
Collaborate with EA marketing and program teams to maintain website content, calendars, and resources.
Act as subject matter expert for volunteer attribution as a Siebel administrator.
Coordinate volunteer communications, newsletters, and email lists.
Partner with Conference, Event & Experience teams on the annual EAB General Meeting/Mini‑Series.
Awards & Recognition Program Delivery
Support ARC meetings, including materials, agendas, summaries, and nomination package preparation.
Manage awards websites and online submissions as the OpenWater platform expert.
Monitor award submissions for completeness and accuracy.
Manage communications with award recipients, nominators, and non‑recipients.
Governance & Operations Manual
Serve as primary contact for updates to the EAB Operations Manual, coordinating revisions through IEEE governance processes.
Qualifications Education
Bachelor’s degree or equivalent experience.
Experience
2–4 years in association management or volunteer support, including hands‑on committee or event/program support.
Skills & Requirements
Proficiency in Microsoft Office and platforms for member data, calendars, and expense management.
Strong communication and relationship‑building skills with senior staff and volunteer leaders.
Excellent written communication and understanding of IEEE/EAB structure.
Service‑oriented, proactive, and able to maintain confidentiality and professionalism under deadlines.
