The primary focus of the role will be to manage extensive diary management, complex travel arrangements and acting as an initial point of contact for all enquiries and guests. You will be calm under pressure, have a problem solving attitude and proficient with multi-tasking. Role Responsibilities
Support numerous executives including, but not limited to, the CEO of Global Broking and CEO, NeWCO and back-up coverage for CEO-Global Broking, Americas; provide adhoc coverage for other senior leaders as required. Manage outlook calendars, arrange conference call and schedule meetings in multiple time zones and effectively resolve scheduling conflicts Coordinate complex travel, meeting schedules and itineraries Setting meeting agendas and minute taking Preparing, reconciling and submitting travel and corporate expenses Meet and greet, liaising with visitors including analysts, shareholders, lenders Maintaining relationships with internal and external stakeholders at senior level Answer and screen calls and direct calls to appropriate parties or take messages. Work on presentations for the senior leadership team Preparing and distributing information packs and presentations Collating documents ahead of meetings File and retrieve corporate documents, records and reports. Perform general office duties such as ordering supplies and arrange for equipment maintenance. Providing support on technology e.g. for presentations video/tele conferencing Act with integrity and due skill, care and diligence in carrying out duties. Ad hoc duties & projects as required Experience / Competences
Essential Ability to prioritise workload and multi-task, unsupervised and independently Personable with the ability to develop strong working relationships at all levels Flexible approach to work - ability to adapt to a range of tasks Proactive and highly engaged Excellent attention to detail Ability to work under pressure Advanced MS Office skills High level of integrity and display values in alignment with the organisation's principles Absolute discretion and confidentiality is essential Willingness to take on additional responsibilities and/or new projects.
