The Documentation Specialist will support the US Transparency Manager in documentation and daily operations of the transparency & reporting process. This role is a hybrid combination of administrative/documentation, data analysis, and serving as a contact point for internal customer questions and day-to-day support.

**

Role, Responsibilities, and Deliverables:**

Serve as the ‘level 1’ support for internal stakeholders who have questions regarding the transparency process. Level 1 entails answering straightforward/day-to-day operations questions (ex: how do I submit this form?) and redirecting the stakeholder to the appropriate subject matter expert for more nuanced questions.

Execute simple searches and queries from databases and understand how this data might apply for a given context.

Support review and revision of processes documentation as processes change and evolve.

Maintain relations with other team members and provide ad-hoc assistance to non-US related projects as needed.

Become a general expert of relevant US transparency guidelines as experience with the job develops.

Education & Experience:

Associates required; BS/BA preferred. Fair consideration given to those with high school diploma/GED if prior work experience matches job requirements.

O-1 year of experience with, or exposure to, business functions such as compliance, legal, regulatory affairs, governmental affairs, and finance. 2+ years preferred.

Skills:

Microsoft suite (Excel, Word, PowerPoint) is mandatory. SharePoint a plus.

Knowledge of SQL/python highly preferred and special consideration will be given.

Position Summary\nWe are seeking a detail-oriented Data Entry Specialist to perform intermediate to advanced data entry, data cleanup, and records management across multiple systems. This role requires strong accuracy, the ability to handle confidential information, and experience working in high-volume, deadline-driven environments. The position follows a hybrid work schedule, with on-site work required Tuesdays and Wednesdays in Merrillville, IN.

Key Responsibilities

Perform intermediate to advanced data entry and data cleanup tasks in multiple systems

Input alphanumeric data accurately and efficiently

Review, proof, and correct errors to ensure data quality and completeness

Prioritize work by coding, sorting, and organizing incoming data

Maintain accurate records and tracking reports

Generate reports based on inputted data

Make routine mechanical adjustments to data entry systems (e.g., switching sets, adjusting controls)

Support handling of confidential and sensitive information

Provide guidance to newer staff after gaining sufficient experience

Make recommendations and decisions within established procedures and limits

Required Qualifications

High school diploma required; post-secondary education preferred

4 to 6 years of relevant data entry experience

Ability to key 10,000 keystrokes per hour

Proficient in 10-key adding machine usage

Strong mathematical and item processing skills

Experience working with confidential information

High attention to detail and accuracy

Experience using Microsoft Access preferred

Position Overview

The Documentation Specialist will support Quality and Regulatory documentation processes, ensuring accuracy, compliance, and timely maintenance of finished goods and raw material records. This role will work closely with suppliers, co-packers, and internal cross-functional teams.

The ideal candidate will have experience in the food, beverage, or dietary supplement industry and a working understanding of regulatory frameworks and quality systems.

Key Responsibilities:\nMaintain and manage Quality and Regulatory documentation across the supply chain\nReview, draft, and publish documents, including:

Certificates of Analysis (COAs)\nCertificates of Conformance\nAudit certificates\nSpecification sheets\nSupplier qualification documentation

Ensure documentation databases are accurate, current, and within validity timelines\nUpload and maintain records in SharePoint and ERP systems\nSupport document control and change control processes\nAssist in developing and updating SOPs, work instructions, and forms\nCollaborate with Operations and Sales teams to provide documentation as needed\nSupport new product innovation documentation requirements\nQualifications

What You’ll Do

Review account opening documentation for new and existing international clients

Perform KYC reviews for prospects and current client relationships

Conduct AML analysis, including adverse media review and risk mitigation support

Understand and comply with internal risk tolerance guidelines and procedures

Apply working knowledge of BSA/AML/OFAC requirements in day-to-day reviews

Analyze and interpret corporate and fiduciary structures, including complex/multi-layer entities

Review Latin America-based corporate documents and offshore investment vehicles (e.g., trusts, companies, partnerships, and similar structures)

Maintain accurate documentation and communicate findings clearly across stakeholders

Use Microsoft Office tools to track, document, and support compliance workflows

Must-Have Requirements

2+ years

of relevant experience in KYC/AML, onboarding, or financial crimes compliance

Strong KYC knowledge

(Know Your Client) and hands-on review experience

Strong AML analysis experience , including adverse media screening and escalation

Bilingual English/Spanish

(written and verbal) — must be able to interview in Spanish

Experience supporting

international client onboarding

and/or family wealth preservation structures

Prior exposure reviewing

LATAM corporate/commercial entities , personal investment companies, partnerships, trusts, and complex layered structures

Understanding of

international private banking account opening documentation

Working knowledge of

BSA/AML/OFAC

regulations

Strong commercial awareness, sound judgment, and ability to learn policies quickly

Proficiency with

MS Office Suite

KYC/Client Due Diligence (CDD/EDD)

AML investigations/analysis

International onboarding (private banking, wealth, or similar)

Corporate/company law documentation (LATAM-focused exposure strongly preferred)

Tech-oriented and highly organized

Strong soft skills: accountable, well-mannered, calm under pressure, approachable, proactive, and solutions-focused
